HR EXECUTIVE / HR MANAGER

Job Purpose

We are looking for a responsible and proactive HR Executive / HR Manager who can independently manage day-to-day HR activities and ensure that all employees strictly follow DDC's company policies, procedures, and documentation requirements.

The candidate should have strong knowledge of HR policies, recruitment, onboarding, employee documentation, attendance, leave, payroll coordination, performance management, notice-period procedures, and employee discipline.

Key Roles & Responsibilities

1. Recruitment & Hiring

- Understand manpower requirements from all departments.
- Source and screen candidates based on the company's requirements.
- Conduct initial HR interviews and coordinate further rounds with the concerned department.
- Maintain candidate records and recruitment trackers.
- Ensure positions are closed within the required timeline.

1. New Employee Joining & Onboarding

The HR should ensure that every new employee completes the joining process properly before or on the date of joining.

Responsibilities include

- Collect and verify all required joining documents.
- Complete employee KYC and personal information records.
- Issue appointment letters and other required HR documents.
- Explain company policies, rules, working hours, attendance, leave, salary structure, incentives, and other applicable terms.
- Explain the employee's role, reporting structure, targets, and responsibilities.
- Ensure the employee understands the company's confidentiality and data-security requirements.
- Coordinate ID cards, email IDs, system access, and other onboarding requirements.
- Conduct a proper HR induction for every new joiner.

1. Company Policies

The HR must have complete knowledge of and ensure implementation of all DDC policies, including:
- Attendance and working-hours policy
- Leave and holiday policy
- Salary and payroll procedures
- Incentive and performance policies
- Probation and confirmation policy
- Notice-period policy
- Resignation and relieving procedure
- Asset handover policy




- Employee confidentiality policy
- Company data and document protection
- Work-from-home/permission policy, where applicable
- Employee discipline and conduct policy
- Performance and target-related policies

HR must ensure that employees are clearly informed about the applicable policies and that proper documentation is maintained.
1. Employee Records & Documentation

- Maintain complete and updated employee files.
- Maintain joining, attendance, leave, salary, appraisal, warning, and resignation records.
- Keep all HR trackers updated on a daily/weekly basis.
- Ensure employee documents are properly filed and accessible when required.
- Maintain confidentiality of employee information.

1. Attendance & Leave Management

- Monitor daily attendance.
- Track late coming, absenteeism, permissions, and leave.
- Maintain accurate leave records.
- Coordinate attendance information with payroll.
- Escalate repeated attendance or discipline issues to management.

1. Performance & Discipline

- Track employee performance and probation periods.
- Coordinate performance reviews with department heads.
- Issue warnings or notices when required as per company policy and management direction.
- Monitor repeated performance or behavioural issues.
- Maintain proper documentation of all disciplinary actions.

1. Resignation & Exit Process

HR will be responsible for ensuring a proper employee exit process, including:
- Receiving resignation formally.
- Verifying the applicable notice period.
- Coordinating handover of responsibilities.
- Ensuring company assets are returned.
- Obtaining department clearance/NOC.
- Coordinating Full & Final settlement with accounts.
- Completing relieving and experience documentation as applicable.
- Ensuring company data, documents, files, and access are properly handed over/closed.

1. Employee Communication





- Communicate HR policies and important company announcements to employees.
- Issue HR circulars, notices, and internal communications.
- Handle employee queries professionally.
- Maintain proper communication between management and employees.

1. HR Reporting

Prepare regular HR reports covering:
- Total employees
- New joiners
- Resignations
- Attendance
- Leave
- Recruitment status
- Open positions
- Probation employees
- Employee performance
- Attrition
- Pending HR documentation
- Asset/NOC status

1. Management Support

- Support management in implementing HR policies.
- Identify HR-related issues before they become major problems.
- Ensure company rules are followed consistently.
- Provide management with accurate HR data and updates.
- Support the organization in building a disciplined and professional work culture.

Required Skills
- Strong knowledge of HR policies and processes.
- Good communication and interpersonal skills.
- Strong documentation and follow-up skills.
- Ability to handle employees professionally.
- Good knowledge of MS Excel/Google Sheets and HR systems.
- Ability to maintain confidentiality.
- Strong organizational and time-management skills.
- Ability to work independently and take ownership.
- Knowledge of basic labour-law and statutory HR requirements is preferred.

- 100% completion of new-joiner documentation.
- 100% employee files maintained and updated.
- Timely onboarding of recent employees.
- Accurate attendance and leave records.
- Timely HR reports.
- Proper implementation of company policies.
- Zero pending exit documentation beyond the defined timeline.
- Timely recruitment against approved manpower requirements.
- Proper tracking of probation and employee performance.

Candidate Profile The ideal candidate should be responsible, strict with processes, approachable with employees, and capable of independently handling HR operations. The person should not only recruit employees but also ensure that every employee understands DDC's policies, responsibilities, targets, discipline, and employment terms from the day they join.
