General Manager Administration/Operations

Job Purpose The General Manager Administration/Operations will be responsible for planning, managing, and overseeing the overall administrative and operational functions of the organization. The position will ensure smooth day-to-day operations, efficient utilization of resources, implementation of organizational policies, statutory compliance, infrastructure management, and coordination among various departments.

The incumbent will play a key leadership role in improving operational efficiency, maintaining high standards of administration, resolving operational challenges, and ensuring that all departments function in alignment with the organization's strategic objectives.

Key Roles and Responsibilities

1. Administration Management

- Oversee and manage the overall administrative functions of the organization.
- Develop, implement, and monitor administrative policies, systems, and Standard Operating Procedures (SOPs).
- Ensure smooth functioning of office premises, facilities, infrastructure, utilities, and support services.
- Supervise housekeeping, security, transport, maintenance, reception, and other administrative support functions.
- Ensure optimum utilization of organizational resources and facilities.
- Monitor administrative expenses and implement cost-control measures.
- Maintain proper records, documentation, and administrative reports.

1. Operations Management

- Plan, coordinate, and monitor day-to-day operational activities across departments.
- Ensure operational activities are conducted efficiently and within established timelines.
- Identify operational bottlenecks and implement corrective and preventive measures.
- Develop systems to improve productivity, service quality, and operational efficiency.
- Coordinate with departmental heads to ensure smooth workflow and timely completion of organizational objectives.
- Monitor operational performance through periodic reports and Key Performance Indicators (KPIs).
- Drive process improvement and operational excellence initiatives.

1. Team Leadership and Coordination

- Lead and supervise administrative and operational teams.
- Coordinate with Heads of Departments (HODs) for effective implementation of organizational policies and plans.
- Conduct regular review meetings with departmental teams.
- Monitor employee performance and ensure accountability within the Administration and Operations departments.
- Identify training and development requirements for administrative and operational staff.
- Promote teamwork, discipline, professionalism, and a positive work culture.

1. Infrastructure and Facility Management

- Ensure proper maintenance and effective management of organizational infrastructure.
- Oversee facility management,



repairs, maintenance, utilities, and vendor services.
- Ensure timely maintenance of office buildings, equipment, furniture, and other assets.
- Coordinate with external agencies, contractors, and service providers.
- Monitor security, safety, housekeeping, transportation, and other support services.
- Ensure that facilities meet organizational standards and operational requirements.

1. Vendor and Contract Management

- Identify, evaluate, and manage vendors and service providers.
- Negotiate contracts and service agreements in coordination with management and relevant departments.
- Monitor vendor performance and service quality.
- Ensure timely renewal of contracts, licenses, agreements, and service arrangements.
- Maintain proper documentation of vendor contracts and related records.
- Ensure cost-effective procurement and service arrangements.

1. Budgeting and Cost Control

- Prepare and manage the Administration and Operations budget.
- Monitor departmental expenses and ensure expenditure remains within approved budgets.
- Identify opportunities for cost reduction without compromising service quality.
- Ensure efficient utilization of manpower, infrastructure, and organizational resources.
- Submit periodic financial and operational reports to senior management.

1. Policy Implementation and Compliance

- Ensure implementation of organizational policies, procedures, and SOPs.
- Monitor compliance with applicable statutory, regulatory, safety, and administrative requirements.
- Coordinate with internal and external stakeholders regarding compliance-related matters.
- Ensure timely renewal of licenses, registrations, approvals, and statutory documents, wherever applicable.
- Support management during internal and external audits.

1. Strategic Planning and Process Improvement

- Participate in organizational planning and strategic decision-making.
- Develop and implement initiatives for improving administrative and operational efficiency.
- Identify areas requiring process automation and system improvement.
- Develop operational dashboards and MIS reports for management review.
- Recommend improvements in organizational systems, procedures, and resource utilization.

1. Stakeholder and Government Liaison

- Maintain effective coordination with internal and external stakeholders.
- Liaise with government authorities, regulatory bodies, service providers, and other external agencies, as required.
- Represent the organization in administrative and operational meetings.




- Ensure timely resolution of issues involving external agencies and stakeholders.

1. Crisis and Issue Management

- Handle administrative and operational emergencies effectively.
- Develop contingency plans for operational disruptions.
- Ensure timely resolution of critical operational issues.
- Escalate major concerns to senior management and recommend appropriate solutions.
- Support business continuity and emergency management initiatives.

Key Performance Indicators (KPIs) The performance of the General Manager Administration/Operations may be evaluated based on:
- Operational efficiency and productivity.
- Timely completion of administrative and operational activities.
- Cost optimization and budget adherence.
- Infrastructure and facility management effectiveness.
- Vendor performance and service quality.
- Implementation of policies and SOPs.
- Resolution time for operational issues.
- Departmental coordination and stakeholder satisfaction.
- Compliance and audit performance.
- Process improvement and cost-saving initiatives.

Educational Qualification
- Bachelor's Degree in Business Administration, Management, Operations, Administration, or a related discipline.
- MBA / Master's Degree in Management, Operations, Administration, or a relevant field will be preferred.

Experience
- Minimum 5-6 years of relevant experience in Administration and/or Operations.
- At least 34 years of experience in a senior managerial leadership role.
- Experience in managing large teams, infrastructure, facilities, vendors, and multi-department operations is preferred.

- Experience with ERP, MIS, or other operational management systems will be an added advantage.
