Position: Front Office Executive
Department: Front Office / Administration
Location: Women & Children Hospital
Reporting To: Front Office Manager / Hospital Administrator / Administration Head
1. Job Summary
The Front Office Executive is responsible for managing the hospital reception and providing courteous, efficient and professional assistance to patients, attendants and visitors. The role includes patient registration, appointment coordination, billing support, enquiry handling, telephone communication and coordination with various hospital departments. The Front Office Executive should ensure a smooth and positive patient experience, particularly for women, children and their attendants.
1. Key Roles & ResponsibilitiesA. Reception & Patient Handling
- Welcome patients, attendants and visitors courteously.
- Attend to patients and their attendants in a professional and compassionate manner.
- Understand patient requirements and direct them to the appropriate department.
- Maintain a clean, organized and patient-friendly reception area.
- Handle patient enquiries regarding hospital services, doctors, departments and timings.
B. Patient Registration
- Register new and existing patients accurately in the Hospital Information System (HIS).
- Verify and update patient demographic and contact information.
- Generate patient registration numbers/IDs as per hospital procedures.
- Ensure accuracy and confidentiality of patient information.
- Assist patients with registration and other front-office formalities.
C. Appointment Management
- Schedule, confirm, reschedule and cancel doctor appointments as required.
- Coordinate appointments with doctors and respective departments.
- Maintain proper records of appointments.
- Inform patients about appointment timings and any changes in schedules.
- Follow up on appointments when required.
D. Telephone & Communication
- Answer incoming calls promptly and professionally.
- Provide correct information regarding doctors, services, timings and hospital facilities.
- Transfer calls to the appropriate departments or personnel.
- Make outgoing calls for appointment confirmation, patient follow-up and other official requirements.
- Maintain professional telephone etiquette at all times.
E. Billing & Cash Counter Coordination
- Coordinate with the Billing Department for patient billing-related requirements.
- Assist patients with information regarding billing procedures and payment counters.
- Coordinate admission, discharge and billing-related formalities as required.
- Ensure proper communication of billing information to patients and attendants.
- Handle cash or payment-related activities only as per assigned responsibility and hospital policy.
F. Admission & Discharge Coordination
- Assist patients and attendants with admission formalities.
- Coordinate with Nursing, Billing, Insurance and other departments for smooth admissions.
- Guide patients regarding room/ward allocation and admission procedures.
- Assist with discharge-related coordination and documentation.
- Ensure that required forms and documents are completed correctly.
G. Patient Guidance & Coordination
- Guide patients to OPD, wards, laboratory, pharmacy, radiology, emergency,
billing and other departments.
- Coordinate with doctors, nursing staff and other departments when required.
- Assist elderly patients, children and attendants with appropriate guidance.
- Give priority assistance to emergency and special-needs patients as per hospital protocols.
- Maintain valuable communication with patients and attendants during their hospital visit.
H. Customer Service & Complaint Handling
- Handle patient and attendant concerns politely and professionally.
- Listen to complaints and coordinate with the concerned department for resolution.
- Escalate serious complaints to the Front Office Manager/Administration.
- Maintain a patient-focused approach at all times.
- Support initiatives to improve patient satisfaction.
I. Documentation & Records
- Maintain front-office registers and records accurately.
- Maintain appointment, enquiry, visitor and other assigned records.
- Ensure proper filing and documentation of front-office activities.
- Maintain confidentiality of patient and hospital information.
- Prepare daily/periodic reports as assigned.
J. Hospital Policies & Safety
- Follow all hospital policies, SOPs and administrative procedures.
- Maintain patient confidentiality and professional ethics.
- Follow infection-control and safety protocols applicable to the front office.
- Assist in maintaining security and visitor-control procedures.
- Immediately report any unusual incident, emergency or security concern to the concerned authority.
1. Qualifications
- Any Graduate / Diploma in Hospital Administration or equivalent qualification.
- Degree/Diploma in Hospital Management is desirable.
