- Executive Assistant – Single Family Office

- About the Family Office
- We are a private, international family office supporting a globally based family whose primary residence is in the UK, Singapore and UAE, with extended family and interests in Bangalore and elsewhere internationally.
- The family values discretion, warmth, efficiency, positive judgment and a high standard of personal service. We are looking for a highly polished and experienced Executive Assistant to provide comprehensive support to the family and help coordinate the many personal, family and professional matters that sit across geographies and time zones.
- This is a high-trust role requiring someone who is comfortable operating with considerable autonomy, has excellent interpersonal skills, and understands the standards and nuances of working with a sophisticated, internationally oriented family.
- The Role
- The Executive Assistant will act as a trusted organisational partner to the family, ensuring that their personal and professional lives run smoothly and that communication, schedules, travel and arrangements are handled seamlessly.
- The role will involve a blend of traditional executive assistance, private household/family support, travel management, coordination and project management.
- The successful candidate will be someone who naturally anticipates needs rather than simply responds to requests.
- Key Responsibilities
- Executive &
- Personal Support
- - Manage complex calendars, appointments, commitments and schedules across multiple time zones.
- - Coordinate meetings, calls, personal appointments and family engagements.
- - Manage correspondence, communications and follow-ups with a high degree of discretion.
- - Prepare schedules, itineraries, briefing notes and other materials as required.
- - Maintain excellent organisation of personal and family information, documents and records.
- - Anticipate upcoming requirements and proactively resolve issues before they become problems.
- International Travel &
- Logistics
- - Plan and coordinate domestic and international travel, including flights, hotels, ground transportation and detailed itineraries.
- - Manage last-minute changes and unexpected travel requirements calmly and efficiently.
- - Coordinate visas, travel documentation and other logistical requirements.
- - Liaise with hotels, private clubs, restaurants, travel providers, concierge services and other external partners.
- - Ensure travel experiences are seamless and aligned with the family's preferences.
- Family &
- Household Coordination
- - Coordinate with family members across the UK, Bangalore and other locations.
- - Assist with personal projects, family events, celebrations and special occasions.
- - Coordinate with household staff, drivers, vendors, property teams and external service providers where required.
- - Manage and follow through on household or family-related requests and projects.
- - Maintain an up-to-date understanding of family preferences, routines and requirements.
- External Liaison
- - Develop and maintain relationships with trusted service providers and external professionals.
- - Interface confidently with senior executives, advisers, professional service firms, hospitality providers and other high-level contacts.
- - Represent the family office professionally and courteously at all times.
- - Exercise excellent judgment regarding what requires escalation and what can be handled independently.
- Projects &
- Ad Hoc Support
- - Take ownership of special projects as they arise, from initial planning through to completion.
- - Research and present options for travel, hospitality, events, services, purchases and other requirements.
- - Coordinate multiple stakeholders and ensure deadlines are met.
- - Be comfortable moving between strategic, administrative and highly practical tasks depending on the family's needs.
- The Ideal Candidate
- We are looking for someone who combines professional sophistication with genuine warmth and a service-oriented mindset.
- The ideal candidate will have:
- - Approximately 10+ years of experience in a high-end executive assistant, private office, luxury hospitality, concierge, private banking, premium travel, family office or similarly service-led environment.
- - Experience supporting UHNW/HNW individuals, families, senior executives or principals is highly desirable.
- - Strong exposure to international environments and an understanding of different cultures and ways of working.
- - Exceptional organisational skills and an ability to manage multiple priorities without becoming flustered.
- - A naturally proactive approach — someone who thinks several steps ahead.
- - Excellent written and spoken English.
- - Outstanding communication and interpersonal skills.
- - Strong attention to detail without losing sight of the bigger picture.
- - High emotional intelligence, maturity and discretion.

- - Excellent judgment and an ability to handle sensitive or confidential information appropriately.

- - Strong technology and digital literacy, including Microsoft Office/Google Workspace and calendar, travel and communication platforms.
- - Flexibility to occasionally work outside conventional office hours when family requirements or international time zones necessitate it.

- This role is particularly suited to someone who has been exposed to luxury or high-touch service environments and understands that exceptional service is often about anticipating a need before it is expressed.
- You should be comfortable with both the detail and the discretion required in a private office — from arranging an important international meeting to ensuring a last-minute personal request is handled perfectly.
- The successful candidate will be polished but not formal, confident but not overbearing, and highly capable without needing to be the centre of attention.
