Job Overview
We are looking for an experienced and highly responsible Event Manager who can independently manage events from initial client discussions and planning through execution and post-event closure.
The ideal candidate should have robust event management, client handling, team leadership, sales, production, and technical knowledge. The candidate will be responsible for leading the event team, coordinating with clients and vendors, ensuring smooth execution, and maintaining quality, timelines, and budgets.
Key Responsibilities
1. Client Management & Business Development
- Meet clients to understand their event requirements, objectives, expectations, and budget.
- Develop and maintain strong relationships with existing and prospective clients.
- Participate in client meetings, presentations, site visits, and negotiations.
- Understand client briefs and convert them into practical event plans.
- Support the sales team in developing proposals, quotations, concepts, and presentations.
- Identify opportunities for additional services and business.
- Ensure effective communication with clients throughout the event lifecycle.
- Handle client concerns and resolve issues professionally.
2. Event Planning & Management
- Take complete ownership of events from briefing to final execution and closure.
- Develop event plans, timelines, schedules, checklists, and execution strategies.
- Coordinate with internal teams including Sales, Planning, Design, Production, Operations, and Accounts.
- Understand event concepts, layouts, BOQs, budgets, technical requirements, and production requirements.
- Conduct venue visits and assess venue feasibility, access, dimensions, power, logistics, and technical requirements.
- Ensure all event requirements are planned and communicated clearly to the respective teams.
3. Production & Technical Coordination
- Have a strong working knowledge of event production and technical requirements.
- Understand stage, truss, LED screens, projection, sound, lighting, generators, fabrication, printing, branding, furniture, décor, and other event infrastructure.
- Review production requirements, BOQs, technical specifications, and vendor quotations.
- Coordinate with production teams and vendors to ensure timely execution.
- Identify potential technical or production issues in advance and provide practical solutions.
- Supervise setup, installation, rehearsals, event-day operations, and dismantling.
4. Team Leadership & Coordination
- Lead and manage event teams during planning and execution.
- Delegate responsibilities and ensure team members understand their roles and deadlines.
- Monitor team performance and ensure timely completion of assigned tasks.
- Coordinate effectively between Sales, Creative, Production, Operations, and other departments.
- Take ownership of problems and guide the team toward effective solutions.
- Maintain discipline, professionalism, and accountability within the event team.
- Be available to guide and support the team during high-pressure event situations.
5. Vendor Management
- Identify, coordinate, and negotiate with event vendors and suppliers.
- Manage vendors for production, technical, décor, fabrication, printing, logistics, hospitality, manpower, and other event requirements.
- Compare vendor quotations and ensure cost-effective solutions.
- Monitor vendor deliverables, quality, timelines, and commitments.
- Ensure vendors follow the approved event plan and specifications.
6. On-Site Event Execution
- Take complete responsibility for smooth event-day execution.
- Be present at the venue during setup, rehearsals, event execution, and dismantling as required.
- Coordinate with clients, vendors, venue teams, production teams, and internal staff.
- Monitor stage, technical setup, branding, décor, guest movement, hospitality, and overall event operations.
- Ensure the event runs according to the approved schedule and client requirements.
- Handle last-minute changes, emergencies, and operational challenges calmly and effectively.
7. Budget & Cost Control
- Understand event budgets, quotations, BOQs, and cost structures.
- Monitor event expenses and ensure execution remains within the approved budget.
- Identify opportunities to reduce unnecessary costs without compromising quality.
- Coordinate with Accounts and management regarding event-related financial requirements.
- Ensure proper documentation and closure of event expenses.
8. Post-Event Closure
- Coordinate dismantling and venue handover.
- Ensure all event materials, equipment, and assets are properly accounted for and returned.
- Collect client feedback and identify areas for improvement.
- Coordinate pending vendor payments and documentation with the relevant teams.
- Prepare or support post-event reports and event performance reviews.
Required Skills & Qualifications
- Minimum 6+ years of professional experience in the Event Management industry.
- Strong experience in handling corporate events, weddings, exhibitions, activations, conferences, or large-scale events.
- Strong knowledge of Sales, Event Planning, Production, Technical and Operations.
- Excellent client handling and communication skills.
- Strong leadership and team management abilities.
- Ability to manage multiple events and priorities simultaneously.
- Strong negotiation and problem-solving skills.
- Good understanding of event budgets, BOQs, quotations, and vendor management.
- Ability to work under pressure and manage last-minute changes.
- Willingness to travel for client meetings, venue visits, and events.
- Willingness to work extended hours during event execution when required.
- Proficiency in English, Malayalam, Hindi, and Tamil.
- Robust interpersonal and organizational skills.
Candidate Profile The ideal candidate should be a hands-on Event Manager and team leader who can independently handle client interactions as well as the practical aspects of event execution. The candidate should be comfortable moving between sales discussions, client meetings, planning, technical coordination, production supervision, and on-site execution. Immediate joiners are preferred.
