Front Office Administrator – Child Development Centre

About the Role
We are looking for a responsible, organised and empathetic Front Office Administrator to manage the day-to-day front office operations of a child development centre.
The role involves coordinating appointments, consultation slots, therapy schedules and parent communication, while ensuring smooth coordination between families, therapists and the clinical team.
Key Responsibilities
Appointment & Schedule Management
- Manage appointments for developmental assessments, consultations and follow-ups.
- Maintain the daily and weekly appointment calendar.
- Allocate and manage consultation and assessment slots efficiently.
- Schedule, reschedule and cancel appointments as required.
- Coordinate therapy schedules based on therapist availability and child requirements.
- Maintain accurate records of therapy sessions and recurring appointments.
- Track cancellations, rescheduling and missed appointments.
- Ensure the clinical team is informed about schedule changes.
Parent & Patient Coordination
- Handle phone calls, WhatsApp messages and enquiries from parents professionally.
- Explain appointment procedures, timings and basic centre information.
- Coordinate with parents regarding therapy schedules and availability.
- Send appointment confirmations and reminders.
- Follow up with families regarding missed appointments and pending visits.
- Ensure a smooth and welcoming experience for children and parents visiting the centre.
Desired Skills
- Excellent organisational and time-management skills.
- Strong communication skills in English and Tamil; Hindi is an advantage.
- Comfortable communicating with parents of young children.
- Ability to manage multiple appointments and schedules simultaneously.
- Good computer skills and familiarity with Google Calendar, Excel/Google Sheets and WhatsApp.
- Attention to detail and accuracy in maintaining schedules and records.
- Ability to handle changes and last-minute scheduling requirements calmly.
- Professional, patient and courteous manner.
- Previous experience in a clinic, hospital, therapy centre, school or healthcare setting is preferred.
- Smooth coordination between clinicians, therapists and families.
- Professional front-office experience for every family.
Pay: ₹8,716.10 - ₹20,000.00 per month
