Job Summary
We are looking for an experienced and responsible Admin Executive / Admin Manager to manage the day-to-day administrative and facility operations of our Gurugram office.
The candidate will be responsible for office administration, vendor coordination, facility management, employee support, procurement, documentation, inventory, housekeeping, and ensuring smooth functioning of the workplace.
Key Responsibilities
- Manage day-to-day administrative operations of the Gurugram office.
- Ensure smooth functioning and maintenance of office facilities.
- Coordinate with housekeeping, security, maintenance, electricians, plumbers, and other service providers.
- Manage office supplies, stationery, pantry, furniture, equipment, and other administrative requirements.
- Maintain proper inventory and stock records of office assets and consumables.
- Coordinate procurement of office supplies and ensure timely availability.
- Manage vendors and service providers, including quotations, negotiations, billing, and follow-ups.
- Maintain records of vendor bills, invoices, agreements, AMC, and other administrative documents.
- Coordinate office repair, maintenance, electrical, internet, AC, furniture, and other facility-related requirements.
- Ensure cleanliness, hygiene, safety, and overall professional appearance of the office.
- Coordinate with HR regarding employee onboarding,
seating arrangements, ID cards, access cards, assets, and other joining requirements.
- Support HR in employee-related administrative activities and office requirements.
- Maintain records of company assets issued to employees and coordinate asset handover during exit.
- Monitor office attendance-related infrastructure, biometric machines, access systems, and other administrative equipment.
- Coordinate courier, dispatch, incoming/outgoing documents, and official communication.
- Handle petty cash/imprest expenses and maintain supporting bills and records as required.
- Coordinate with Accounts for vendor payments and administrative expenses.
- Ensure timely renewal of AMC, licenses, subscriptions, and other office-related services.
- Coordinate with IT/Admin teams for laptops, desktops, printers, internet, CCTV, and other office infrastructure requirements.
- Maintain office-related MIS, trackers, and administrative reports.
- Handle urgent administrative issues and ensure timely resolution.
- Support management and HR in implementing office rules, policies, and administrative processes.
- Coordinate events, meetings, employee engagement activities, and other office requirements whenever required.
- Perform any other administrative responsibilities assigned by management.
Required Skills & Qualifications
- Graduate in any discipline.
- 2–6 years of experience in Administration, Office Management, Facility Management, or a similar role.
- Strong knowledge of office administration and facility management.
- Positive vendor management and negotiation skills.
- Good communication and interpersonal skills.
- Proficiency in MS Office, particularly Excel, Word, and Email.
- Strong coordination and follow-up skills.
- Good organizational and multitasking abilities.
- Ability to manage multiple administrative activities simultaneously.
- Strong problem-solving and decision-making skills.
- Professional attitude with good discipline and ownership.
- Prior experience in a corporate or real estate organization will be an added advantage.

- Good knowledge of office operations and vendor coordination.
- Capable of independently handling day-to-day administrative requirements.
- Strong follow-up skills with vendors and internal teams.

- Ability to work under pressure and handle urgent office requirements.
- Should be comfortable coordinating with Management, HR, Accounts, IT, Sales, and external vendors.

Salary: ₹25,000 – ₹50,000 per month, depending on experience, skills, and interview performance. Location: Gurugram, Haryana
