Office & Communication Support
Greeting visitors and coordinating basic front-office functions.
Maintaining communication with drivers, dispatchers, clients, vendors, and regulatory contacts.
Drafting and responding to routine correspondence.
Documentation & Filing
Creating, organizing, and maintaining both physical and electronic files (documents, certificates, permits, reports).
Processing and filing invoices, purchase orders, bills of lading, delivery documents, and other transport paperwork.
Maintaining accurate records of shipments, driver documentation, insurance details, and compliance files.
Scheduling & Coordination
Organizing schedules for meetings, appointments, training sessions, and sometimes travel arrangements.
Coordinating internal team calendars and arranging conference calls or group activities.
Tracking deadlines for permits, registrations, inspections, or compliance requirements.
Administrative & Office Management
Ordering and managing office supplies, ensuring systems and printers are functioning, and supporting general office upkeep.




Preparing regular reports (weekly, monthly, or as requested) for management on office or operations metrics.
Performing data entry, maintaining databases/spreadsheets (often using MS Office: Word, Excel, Outlook).
Financial / Accounting Support (where required)
Assisting with basic billing tasks such as invoice preparation or sending to clients.
Processing expenses, tracking payments, or recording financial information in coordination with accounting.
Filing and managing easy bookkeeping entries (if part of the role).
Compliance & Regulatory Assistance
Helping ensure driver files, permits, logs, and other compliance-related documentation remain up-to-date.
Assisting with recordkeeping to support audits and regulatory reviews.
Preparing compliance summaries or reporting data to supervisors.
