Job Summary:
We are looking for an experienced Tender Executive who can independently identify suitable tenders, study tender requirements, prepare all necessary documents, coordinate internally for supporting documents, and complete online tender submission within the stipulated timelines.
Key Responsibilities
- Search and identify suitable Government, PSU, Municipal Corporation, and Private tenders through various tender portals.
- Review and understand NIT, RFP, BOQ, Eligibility Criteria, Technical Specifications, EMD, Tender Fee, and other tender conditions.
- Prepare a Tender Summary / Eligibility Checklist and highlight important requirements to management.
- Collect and prepare all required technical, commercial, legal, financial, and supporting documents.
- Coordinate with HR, Finance, Operations, Legal, and Management for required certificates and documents.
- Prepare documents such as:
- Company Profile
- Authorization Letters
- Undertakings & Declarations
- Experience Certificates
- Work Orders
- Completion Certificates
- GST/PAN/TAN documents
- PF/ESI documents
- Financial statements and turnover documents
- Solvency/Bank documents
- Affidavits and other tender-specific documents
- Prepare and upload Technical Bid, Financial Bid, BOQ, and supporting documents as per tender requirements.
- Handle online submission through GeM, CPPP, State Government Tender Portals, Municipal/Corporation portals, and other e-Tender platforms.
- Ensure documents are uploaded in the correct format, size, file name, and sequence.
- Coordinate for Digital Signature Certificate (DSC) and complete online tender submission.
- Track Tender Corrigendum, Clarifications, Pre-Bid Meetings, Submission Deadlines, EMD/Bid Security, and Tender Results.
- Maintain a proper Tender Tracker with tender status,
submission date, EMD details, bid status, and results.
- Prepare tender-related letters, clarifications, queries, and correspondence.
- Coordinate with management for final approval before tender submission.
- Ensure all tender documents are submitted accurately and within the deadline.
- Maintain a systematic soft-copy and hard-copy database of all tender documents for future reference.
- Support the team in post-bid clarification, technical evaluation, commercial negotiation, and award-related documentation.
Required Skills
- Good knowledge of Government and e-Tendering procedures.
- Experience in Tender Search, Tender Analysis, Documentation, and Online Bid Submission.
- Valuable knowledge of GeM / CPPP / State e-Procurement Portals.
- Strong knowledge of MS Excel, MS Word, PDF, and document management.
- Ability to read and understand tender eligibility and technical requirements.
- Good coordination and communication skills.
- Strong attention to detail and deadline management.
- Ability to independently prepare and submit tenders.
- Knowledge of GST, PF, ESI, MSME, Company Registration, and other statutory documents will be an advantage.
Qualification MBA or equivalent qualification.
Experience
2–3 years of relevant experience in Tender Management / Tender Documentation / E-Tendering / Business Development.
Preferred Candidate:
Candidate should have hands-on experience in finding tenders, checking eligibility, preparing tender documents, coordinating supporting documents, uploading bids, and successfully completing online tender submissions independently.
