Tender & Bid Management Executive

Job Summary
We are looking for a detail-oriented and proactive Tender & Bid Management Executive with 1–3 years of relevant experience in managing end-to-end tendering and bidding processes for Government, PSU, Corporate, and Private Sector projects.
The candidate should have hands-on knowledge of GeM, Government e-procurement portals, private tender portals, RFQs, RFPs, EOIs, vendor registrations, quotations, commercial proposals, and bid documentation. The role requires strong coordination, documentation, commercial understanding, and the ability to manage multiple bids within strict deadlines.
Key Responsibilities
- Identify and monitor relevant Government and Private Sector tender/bidding opportunities through GeM, e-procurement portals, client/vendor portals, tender websites, emails, and other sources.
- Review and analyze Tender Documents, RFQs, RFPs, EOIs, BOQs and bid specifications in detail.
- Understand the project scope, eligibility criteria, technical specifications, commercial terms, compliance requirements, submission process, and deadlines.
- Manage the complete tendering process from opportunity identification to final bid submission and post-submission follow-up.
- Prepare and compile technical bids, commercial bids, financial proposals, quotations, capability documents and supporting documentation.
- Handle private-sector RFQs/RFPs received directly from corporate clients, consultants, contractors, architects, developers, and other organizations.
- Coordinate with private-sector clients/procurement teams to understand requirements, submission formats, commercial expectations, and timelines.
- Prepare pricing sheets, BOQs, cost comparisons,
commercial quotations and proposal documents in coordination with the concerned internal teams.
- Coordinate with Finance, Technical, Projects, Operations, Sales/Business Development, Procurement, and Legal teams to collect required information and approvals.
- Manage vendor registration and empanelment processes with corporate/private clients and maintain updated vendor documentation.
- Ensure all statutory, financial, technical, and company documents required for tender participation are updated and readily available.
- Prepare compliance statements, technical specifications, company credentials, past project details, client references, declarations, undertakings, and supporting documents.
- Handle documentation related to EMD, tender fees, security deposits, performance guarantees, bank guarantees and other bid requirements, wherever applicable.
- Upload and submit tenders through GeM and other Government/private e-procurement portals accurately and within stipulated timelines.
- Coordinate for pre-bid meetings, site visits, tender clarifications and corrigendum/addendum requirements.
- Respond to clarification requests and queries raised by Government authorities, procurement teams, consultants, or private clients.
- Follow up with clients after bid submission regarding technical evaluation, commercial negotiations, bid status, purchase orders/work orders, and final outcomes.
- Support the management/business development team during commercial negotiations and price revisions.
- Maintain a detailed Tender Tracker covering opportunity details, client, project value, submission date, bid status, quoted value, result, and follow-up actions.
- Maintain proper records of submitted tenders, quotations, proposals, purchase orders, work orders, agreements, and related correspondence.
- Track bid success rates, lost opportunities, competitor information, pricing trends, and reasons for bid wins/losses where information is available.
- Ensure 100% timely and compliant submission of all assigned bids and proposals.
Preferred Skills & Qualifications
- 1–3 years of experience in Tendering, Bid Management, Proposal Management, Commercial Coordination, or Business Development support.
- Hands-on experience with GeM and Government e-procurement portals.
- Experience handling private-sector RFQs, RFPs, quotations, vendor registrations, and commercial proposals.
- Valuable understanding of BOQs, pricing, tender terms, technical/commercial documentation, and contractual requirements.
- Strong proficiency in MS Excel, Word, PowerPoint, PDF documentation, and online tender portals.
- Excellent documentation, coordination, follow-up, and time-management skills.
- Ability to work on multiple tenders simultaneously under strict deadlines.
- Strong written and verbal communication skills.
- High attention to detail with the ability to identify missing documents, compliance gaps, and commercial risks before submission.
Preferred Industry Exposure: Interior Design, Construction, Infrastructure, Fit-outs, Architecture, Engineering, or related project-based industries.
Pay: ₹25,000.00 - ₹35,000.00 per month
