About the Role

We are looking for a detail-oriented and proactive Transport Compliance & Audit Coordinator with experience in German road freight, middle-mile, fleet operations, or transport compliance. The role will manage transport compliance records, audit preparation, driver and vehicle compliance, corrective actions, and German transport regulatory requirements.

Key Responsibilities

Audit Preparation & Management

- Prepare and maintain documentation for customer, internal, and external transport audits.
- Maintain audit folders, compliance checklists, evidence, and audit calendars.
- Coordinate auditor requests and ensure timely submission of documents.
- Track audit findings, corrective actions, and closure status.

Driver Compliance

- Maintain complete and updated driver compliance files.
- Verify driving licence, Fahrerqualifikationsnachweis / Code 95, and skilled qualifications.
- Track driver training, safety briefings, document expiry dates, and renewals.
- Conduct periodic compliance checks and escalate gaps.

Tachograph & Working-Time Compliance

- Monitor tachograph records, driving time, breaks, daily/weekly rest, and working-time compliance.
- Coordinate driver-card and vehicle tachograph downloads.
- Maintain infringement records, evidence, and corrective actions.
- Escalate repeated or serious violations.

Fleet & Vehicle Compliance

- Maintain vehicle compliance and audit documentation.
- Track TV/HU, inspections, maintenance, tyres, defects, and safety records.
- Ensure vehicle documents are complete and audit-ready.
- Coordinate with fleet/maintenance teams to close overdue actions.

Customer & Quality Compliance

- Monitor customer-specific SOPs and compliance requirements.
- Maintain evidence for KPIs, service failures, safety incidents,



operational deviations, POD, and service levels.
- Support customer scorecard reviews and compliance meetings.
- Prepare Root Cause Analysis (RCA) and Corrective and Preventive Action (CAPA) documentation.
- Monitor route/tour requirements and operational procedures.

Subcontractor Compliance

- Maintain compliance documentation for subcontracted carriers.
- Verify licences, insurance, driver documentation, and transport certificates.
- Ensure compliance with legal and customer-specific requirements.
- Identify and escalate subcontractor compliance risks.

Compliance Reporting

- Prepare weekly/monthly transport compliance reports.
- Maintain compliance dashboards, audit trackers, and risk registers.
- Highlight overdue documents, repeated violations, audit findings, and high-risk areas.
- Maintain accurate, complete, and readily retrievable compliance records.

Requirements

- 2-4 years of experience in German road freight, middle-mile, fleet operations, transport compliance, or similar.
- Experience with a freight carrier, 3PL, transport company, or logistics organization.
- Experience in transport audit preparation, compliance inspections, or audit reporting.
- Good understanding of German road transport and driver compliance requirements.
- Familiarity with tachograph data, driving/working-time regulations, and driver compliance documentation.
- Strong documentation, reporting, follow-up, and analytical skills.
- Good working knowledge of MS Excel / Microsoft Office.
- Strong attention to detail and ability to identify compliance gaps.
- Good English communication skills.
- Ability to coordinate with drivers, fleet, operations, customers, and management.

Education Bachelors degree or equivalent professional qualification in Logistics, Transport Management, Supply Chain Management, Business Administration, or Fleet Management.

Relevant practical experience in German road transport will also be considered.
