Role Purpose
Manage day-to-day bookkeeping and accounting operations for ViTWO's US-based SMB and start-up clients under the Virtual CFO Services model, ensuring accuracy, timeliness and compliance with US accounting standards - and deliver a clean, reviewed month-end close and client-ready reporting for an assigned portfolio, operating the systems, checklists and service levels set by the Finance Controller.
Key Responsibilities / KRAs
1. Transaction processing & bookkeeping
· Handle end-to-end bookkeeping, bank and credit-card reconciliations, and accounts payable / receivable for a portfolio of US-based clients.
· Prepare and maintain accurate financial records, primarily in QuickBooks Online, with Xero and NetSuite as secondary platforms.
· Operate the client's AP workflow (Bill.com, Ramp, Brex or in-app): capture, code, route for approval, schedule payment runs, and reconcile vendor statements.
· Process expense reports and corporate-card feeds (Expensify, Ramp, Brex); enforce receipt and policy compliance.
· Run AR: raise invoices, apply receipts, reconcile payment-processor payouts (Stripe, PayPal, Shopify, Amazon) to bank, maintain the ageing and run the dunning cadence.
· Record payroll journals from the client's payroll provider (Gusto, ADP, Rippling, Justworks) and reconcile payroll registers, benefits and payroll-tax liabilities to the ledger.
· Maintain sub-ledgers and schedules: fixed assets and depreciation, prepaid amortisation, accruals, deferred revenue, loans and interest, intercompany.
· Handle inventory and COGS entries for product / e-commerce clients, including landed cost and marketplace fee allocation.
2. Month-end close & reporting
· Execute the month-end and quarter-end close against the ViTWO close checklist: journal entries, accruals, reconciliations, flux review and tie-out.
· Prepare the monthly reporting pack - P&L;, balance sheet, cash flow, budget-vs-actual and KPI schedule - and draft first-pass variance commentary for Controller review.
· Maintain a documented, reviewer-ready close binder per client (reconciliations with support, open-item logs, sign-offs).
· Support the client's external CPA at year-end: tax-ready trial balance, supporting schedules and prompt responses to preparer queries.
· Support audits, reviews and lender / investor information requests as directed.
3. US compliance support
· Collect and track W-9s from vendors; prepare Form 1099-NEC / 1099-MISC data for January filing.
· Prepare sales-tax filings (via Avalara / TaxJar or state portals) and maintain the nexus and registration tracker for assigned clients.
· Maintain each client's compliance calendar (state annual reports, franchise tax, business licences) and flag upcoming deadlines to the Controller.
4. Client communication & service
· Coordinate directly with US clients (founders, controllers, finance teams) to resolve queries and ensure smooth, timely communication.
· Run the weekly open-items / uncategorised-transactions query to the client and close it within the SLA; keep a running client query log.
· Respond to client tickets and emails within the agreed service level (indicative: same business day acknowledgement, resolution within 2 business days).
· Support onboarding of new clients: system access, opening balances, chart-of-accounts mapping, historical clean-up and catch-up bookkeeping under Controller direction.
· Collaborate with Sales, Delivery and Compliance teams for client onboarding and ongoing service delivery.
5. Quality, controls & practice contribution
· Maintain data accuracy across accounting systems; self-review against the checklist before submitting for Controller review and clear review comments within one business day.
· Follow ViTWO's control procedures - segregation of duties on client payments, dual authorisation, documented approvals - and retain evidence as required by the SOC 2 programme.
· Log time accurately against client engagements for utilisation and billing purposes.
· Document client-specific procedures and contribute improvements to the shared SOP library; propose automations (bank rules, recurring entries, integrations).
· Learn and use the vitwo.ai ERP and its AI modules where deployed on client engagements; give structured feedback to the product team.
Must-Have Requirements
· 4 to 5 years of US accounting / bookkeeping experience serving US clients.
· Hands-on QuickBooks Online proficiency (QBO ProAdvisor certification preferred); working knowledge of at least one of Xero or NetSuite.
· Practical experience with the US SMB finance stack - Bill.com, Gusto or similar payroll provider, a card / expense platform, and Stripe or another payment processor.
· Working understanding of US GAAP accrual accounting for small businesses (revenue, prepaids, accruals, fixed assets, deferred revenue).
· Excellent verbal and written English for direct interaction with US clients.
· Intermediate-to-advanced Excel / Google Sheets (lookups, pivots, reconciliation templates).
· Comfortable working US shift hours.
Positive-to-Have
· Prior experience in a virtual CFO or outsourced accounting firm serving SMB / start-up clients.
· Exposure to additional platforms (Xero, NetSuite, Sage Intacct) and to platform migrations.
· Prior experience supporting US GAAP-based financial reporting and year-end tax packages for CPA firms.
· Exposure to sales-tax tools (Avalara, TaxJar) and 1099 e-filing platforms (Track1099, Tax1099).
· Semi-qualified CA / CMA, M.Com, or US CPA / EA in progress.
· Experience with e-commerce or SaaS clients (marketplace settlements, subscription billing).
Compensation & Career Path
Compensation
As per market standards, commensurate with the candidate's demonstrated expertise, certifications, and last-drawn CTC. The exact salary bracket will be communicated during the interview process.
· Structure: fixed CTC plus annual performance bonus linked to Section 4 KPIs; certification costs (QBO ProAdvisor, Xero, US CPA / EA) reimbursed on completion.
· Night-shift allowance and hybrid-work support as per policy.
Career path
· Senior Associate US Accountant (12–18 months) → Team Lead / Assistant Controller → Finance Controller track, or specialist tracks in FP&A; or US tax coordination.
Pay: ₹50,000.00 - ₹80,000.00 per month
