Role & responsibilities

1. Provide administrative and secretarial support to the OPD Department Head/Manager.

2. Manage OPD appointments, doctor schedules, meetings, calendars, and daily departmental activities.

3. Coordinate with doctors, nurses, reception, billing, diagnostics, pharmacy, and other hospital departments.

4. Assist in ensuring smooth patient flow and efficient functioning of the OPD.

5. Handle telephone calls, emails, correspondence, and internal communication for the OPD.

6. Assist patients and attendants with general OPD-related information and coordinate resolution of their queries.

7. Prepare daily, weekly, and monthly OPD reports, MIS, and departmental statistics.

8. Maintain accurate and up-to-date physical and electronic records related to OPD operations.

9. Prepare letters, notices, presentations, minutes of meetings, and other departmental documents.

Coordinate doctor leave schedules, clinic timings, special clinics, and changes in OPD availability.

11. Follow up with concerned departments on pending requests, operational requirements, and action points.

12. Maintain strict confidentiality of patient, doctor, and hospital information.

13. Support internal audits, accreditation requirements, quality initiatives, and compliance activities.

14. Ensure adherence to hospital policies, SOPs, patient safety standards, and service-quality guidelines.

15. Demonstrate excellent communication, coordination, organizational, computer, and interpersonal skills while maintaining a skilled and patient-friendly approach.
