Role Overview

We are looking for a responsible, organized and hands-on Warehouse Manager to manage the day-to-day operations of the warehouse.

The person will be responsible for receiving, storing, maintaining, issuing and dispatching materials, ensuring accurate inventory records, minimizing stock loss/damage, maintaining proper documentation and supervising warehouse staff.

The ideal candidate should be disciplined, physically present in the warehouse operations, comfortable with Excel/basic inventory systems and capable of taking complete ownership of warehouse activities.

Key Responsibilities1. Warehouse Operations

- Manage day-to-day warehouse/godown operations.
- Supervise receipt, storage, movement and dispatch of materials.
- Ensure all incoming materials are properly checked and documented.
- Ensure materials are stored systematically and are easily traceable.
- Maintain proper labelling and identification of materials.
- Ensure optimum utilization of available warehouse space.
- Maintain cleanliness and proper housekeeping of the warehouse.

2. Inventory Management
- Maintain accurate stock records and inventory registers.
- Monitor opening stock, inward, outward and closing stock.
- Conduct regular physical stock verification.
- Reconcile physical stock with system/register records.
- Immediately report shortages, excess stock, damages or discrepancies.
- Maintain records of damaged, returned, obsolete and slow-moving materials.
- Minimize stock loss, wastage and damage.
- Follow FIFO/FEFO wherever applicable.

3. Inward & Material Receiving
- Receive materials from vendors and other locations.
- Verify quantity and condition of materials against purchase orders/delivery documents.
- Coordinate with the Purchase and Accounts teams regarding discrepancies.
- Prepare/maintain Goods Receipt Notes or relevant inward documentation.




- Ensure proper entry of all received materials into the inventory system/register.

4. Outward & Dispatch Management
- Process material issues and dispatches based on approved requests.
- Prepare delivery challans, material issue notes and dispatch documentation.
- Ensure correct quantity and material is dispatched.
- Coordinate with transporters/drivers for timely movement of materials.
- Maintain complete records of all outward movements.
- Ensure dispatches are completed within required timelines.

5. Team Management
- Supervise warehouse helpers, loaders and support staff.
- Allocate daily work responsibilities.
- Monitor attendance, discipline and productivity.
- Train team members on proper material handling and warehouse procedures.
- Ensure protected handling of materials and equipment.
- Maintain adequate manpower for daily warehouse requirements.

6. Documentation & Reporting

Maintain accurate records of

- Inward materials
- Outward materials
- Stock registers
- Material issue notes
- Delivery challans
- Damaged/returned materials
- Physical stock verification
- Stock reconciliation
- Opening and closing stock
- Vendor/transport documentation

Prepare regular reports such as:
- Daily inward/outward report
- Weekly stock report
- Monthly inventory report
- Stock variance report
- Damaged/obsolete stock report
- Slow-moving inventory report

7. Coordination

Work closely with

- Operations Team
- Purchase Team
- Accounts & Finance Team
- Sales/Distribution Team
- Project/Program Teams
- Vendors
- Transporters and logistics partners

Ensure smooth flow of materials from procurement → warehouse → issue/dispatch → final destination.

- Warehouse Safety & Security

- Ensure safe storage and handling of all materials.
- Maintain proper housekeeping and 5S practices.
- Ensure fire-safety and emergency procedures are followed.
- Restrict unauthorized access to warehouse areas.
- Monitor security of inventory and warehouse assets.
- Report accidents, damages, theft or safety concerns immediately.

9. Cost & Process Optimization
- Reduce unnecessary material movement and handling.
- Optimize warehouse space utilization.
- Minimize stock damage,



wastage and shortages.
- Identify opportunities to improve warehouse processes.
- Introduce simple systems and checklists to improve efficiency and accountability.

Key Performance Indicators (KPIs)

The Warehouse Manager will be evaluated on:

- Inventory accuracy
- Timely inward and outward processing
- Stock variance and reconciliation
- Reduction in material damage/wastage
- Timely dispatch of materials
- Proper documentation
- Warehouse cleanliness and organization
- Team productivity and discipline
- Reduction in stock loss
- Compliance with warehouse SOPs
- Timely submission of inventory reports

Candidate ProfileEducation
- Graduate preferred.
- Diploma/ITI with relevant warehouse experience may also be considered.

Experience
- 2–5 years of experience in warehouse, stores, inventory or logistics operations.
- Experience in managing a warehouse/godown independently will be preferred.
- Experience in NGO, FMCG, retail, distribution, manufacturing, trading or social-impact organizations is an advantage.

Required Skills
- Good knowledge of warehouse and inventory management.
- Basic to good knowledge of MS Excel.
- Experience with Tally/ERP/Warehouse Management Software will be an advantage.
- Good documentation and record-keeping skills.
- Ability to conduct physical stock verification.
- Good communication and coordination skills.
- Ability to supervise warehouse staff.
- Strong attention to detail.

Compensation

₹25,000 – ₹30,000 per month, depending on relevant experience, skills and suitability for the role.
