OB DESCRIPTION – E-COMMERCE ACCOUNTANT

Position: E-Commerce Accountant

Department: Finance & Accounts

Reporting To: Finance Manager / Accounts Head

Job Summary

We are looking for an experienced and detail-oriented E-Commerce Accountant to manage day-to-day accounting activities related to sales and purchases through various e-commerce portals. The candidate will be responsible for sales and purchase invoice booking, portal reconciliation, payment reconciliation, GST-related accounting, and maintaining accurate financial records.

The role requires strong knowledge of accounting principles, GST, TDS, e-commerce transactions, and accounting software.

Key Responsibilities

1. E-Commerce Sales Accounting

Record and maintain sales transactions from various e-commerce portals.

Download and verify sales reports, order reports, settlement reports, and transaction statements.

Book sales invoices accurately in the accounting system.

Account for discounts, returns, cancellations, commissions, marketplace fees, shipping charges, and other deductions.

Ensure proper accounting of GST on e-commerce sales.

Maintain portal-wise sales records and customer/order-related accounting data.

2. Purchase Accounting

Receive, verify, and book purchase invoices from vendors.

Check invoices for GSTIN, invoice number, date, taxable value, GST amount, and other required details.

Ensure purchase invoices are recorded under the correct vendor and ledger.

Verify purchase entries with purchase orders, GRNs, and supporting documents wherever applicable.

Maintain proper records of vendor purchases and outstanding balances.

3. Sales & Purchase Bill Booking

Daily booking of sales and purchase bills in accounting software.

Ensure invoices are booked under the correct ledger, cost centre, branch, and GST classification.

Verify duplicate invoices and incorrect/missing invoices.

Maintain proper documentation and filing of invoices.





Coordinate with sales, purchase, warehouse, and operations teams for missing or incorrect invoices.

4. E-Commerce Portal Reconciliation

Reconcile sales and settlement reports received from e-commerce portals with the accounting books.

Reconcile portal collections with bank receipts.

Identify differences relating to commission, marketplace charges, TCS, GST, returns, refunds, cancellations, and other deductions.

Prepare and maintain portal-wise reconciliation statements.

Follow up with concerned teams/portals for unresolved discrepancies.

5. Bank & Payment Reconciliation

Reconcile e-commerce settlements with bank statements.

Verify customer receipts and marketplace payments.

Track outstanding settlements and pending payments.

Assist in bank reconciliation and identification of unreconciled transactions.

6. GST & Statutory Accounting

Ensure proper GST treatment of sales and purchase transactions.

Reconcile GST input tax credit with purchase records and GST portal data.

Maintain records related to GST, TCS, TDS, and other applicable statutory deductions.

Assist in preparation of GST returns and other statutory reports.

Coordinate with consultants/auditors for GST and accounting-related requirements.

7. Accounts Payable & Receivable

Maintain vendor ledgers and customer/e-commerce receivable records.

Monitor vendor outstanding balances and payment schedules.

Track receivables from e-commerce portals.

Prepare ageing reports for outstanding receivables and payables.

Assist in resolving ledger discrepancies.

8. MIS & Reporting





Prepare daily/weekly/monthly sales reports.

Prepare portal-wise sales and settlement reports.

Prepare purchase and expense reports.

Prepare reconciliation statements and variance reports.

Provide accounting data for monthly MIS and management reporting.

Assist in month-end and year-end closing activities.

Required Skills

Strong knowledge of Accounting and Bookkeeping.

Good understanding of E-commerce accounting.

Knowledge of GST, TDS and TCS.

Experience in sales and purchase invoice booking.

Experience in e-commerce portal reconciliation.

Good knowledge of MS Excel, including Pivot Tables, VLOOKUP/XLOOKUP, SUMIFS and basic data analysis.

Working knowledge of Tally / ERP / accounting software.

Strong reconciliation and analytical skills.

Positive attention to detail.

Ability to handle large volumes of transactions accurately.

Good communication and coordination skills.

Preferred Experience

2–5 years of experience in accounting, preferably in an e-commerce, retail, D2C, or FMCG environment.

Experience working with e-commerce marketplaces such as Amazon, Flipkart, Myntra, Meesho, Shopify or other online sales platforms will be preferred.

Experience in handling high-volume sales and purchase transactions will be an advantage.

Educational Qualification

B.Com / M.Com

Practical knowledge of accounting and GST is essential.

Key Performance Indicators (KPIs)

Accuracy and timely booking of sales and purchase invoices.

Timely completion of e-commerce portal reconciliations.

Reduction in unreconciled and outstanding transactions.

Accuracy of GST/TDS/TCS accounting.

Timely submission of MIS and accounting reports.

Proper maintenance of vendor and portal ledgers.

Timely closure of month-end accounting activities.
