ROLE OVERVIEW The Personal Secretary to the Managing Director is a pivotal executive support role requiring exceptional organizational skills, discretion, and the ability to manage complex, multi-location responsibilities. You will serve as the primary administrative and logistical bridge between the MD and internal/external stakeholders, ensuring seamless executive operations.
KEY RESPONSIBILITIESExecutive Support
· Manage the MD's calendar, schedule meetings, and coordinate across stakeholders
· Prepare briefing documents, meeting agendas, and minutes
· Draft and proofread executive correspondence
· Maintain confidentiality of sensitive corporate matters
Travel & Logistics
· Coordinate domestic and international travel (flights, hotels, visas, itineraries)
· Organize travel expense documentation and reimbursement workflows
· Arrange ground transportation and accommodation
· Prepare travel dossiers with relevant briefing materials
Administrative Operations
· Manage office operations and vendor relationships
· Coordinate with HR, Finance, and department heads on MD directives
· Track action items and follow-ups
· Maintain organized filing systems (physical and digital)
Communication & Stakeholder Management
· Screen and prioritize incoming calls, emails, and requests
· Liaise with internal teams and external partners on behalf of the MD
· Prepare presentations and materials for board/senior leadership meetings
· Represent professionalism and discretion in all interactions
Compliance & Documentation
· Maintain records of executive decisions and communications
· Ensure compliance with company policies and legal requirements
· Support audit readiness and documentation requests
REQUIRED QUALIFICATIONSEducation
· Bachelor's degree from a premier business school (e.g., NMIMS, XLRI, JBIMS, ISB, IIM-affiliated or equivalent tier-1 institution), OR Law degree (Bachelor of Laws) with 2+ years of corporate/legal operations experience
Professional Experience
· Minimum 3–4 years of experience in executive secretariat, office management, or corporate administration
· Proven experience supporting C-suite / senior leadership (MD, CEO, or equivalent)
· Track record of managing complex travel logistics and international coordination
Skills & Competencies
· Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
· Strong written and verbal communication in English (fluency in regional languages is a plus)
· Excellent organizational and time-management skills
· Proactive problem-solving and attention to detail
· Ability to handle confidential information with discretion
· Comfort with multitasking and shifting priorities
DESIRABLE QUALIFICATIONS
· Experience in import/export, agribusiness, or FMCG sectors
· Familiarity with international travel procedures (visa processing, compliance)
· Experience with CRM or project management tools
· Proficiency in a second language (Hindi, Malayalam, or other Indian languages)
· Prior exposure to board/governance-level functions
WILLINGNESS TO TRAVEL
· International and domestic travel is a core requirement of this role.
· Frequency: Estimated 20–30% of working time (variable by business needs)
· Scope: Domestic travel across India + international travel (Asia-Pacific, Europe, other regions as needed)
· Flexibility: Ability to travel on short notice and adapt to schedule changes
· Candidacy: Only those willing to undertake international travel should apply

WORKING CONDITIONS
· Office hours: Flexible, aligned with MD's schedule (often extends beyond standard 9:30–18:30)
· Location: Aeden HQ, Panangad, with occasional work from other locations
· Travel: International travel required (passport validity, immunizations, visa readiness expected)
· Physical demands: Ability to travel, stand, and work during extended office hours during high-demand periods
