Personal Manager and International Travel Operations Lead

Market-aligned and based on verified experience; to be discussed with shortlisted candidates

Primary Outcome

Founder should be able to move between home, office, shoots, events and countries without personally carrying the coordination burden. Plans must be written, confirmed, checked, backed up and handed over cleanly. The role succeeds when Founder is prepared and the schedule runs without avoidable disruption.

Core Responsibilities Personal and Executive Coordination

- Manage Founder’s authorised day-to-day personal requirements, appointments, movements and readiness.
- Maintain a single current schedule covering travel, shoots, meetings, appearances and personal commitments.
- Identify clashes early, confirm requirements in advance and follow through until completion.
- Coordinate discreetly with authorised staff, drivers, vendors, production teams, agencies and external professionals.
- Prepare short daily and weekly updates covering confirmed plans, pending decisions and risks.

International and Domestic Travel Operations

- Build end-to-end itineraries covering flights, visas, lawful entry requirements, hotels, ground transport, airport services, luggage, meetings, shoots and personal activities.
- Confirm every booking and maintain live status, contact and contingency information.
- Travel ahead when required to inspect rooms, transportation, privacy, connectivity, food arrangements and local support.
- Coordinate VIP airport handling,



baggage, drivers, vehicles, security and accompanying staff.
- Manage last-minute changes calmly and present practical alternatives without transferring the problem to the Founder.
- Maintain a reusable country and vendor knowledge base after every trip.

Packing and Principal Readiness

- Maintain current packing checklists for clothing, work devices, chargers, grooming, nutrition and approved health essentials.
- Coordinate packing staff and verify critical items before dispatch.
- Ensure rooms, work setup, food, transport and essential supplies are ready before Founder arrives.
- Maintain a controlled inventory and custody record for items handled by the role.

Shoot Event and Appearance Support

- Coordinate call times, locations, transport, holding-room readiness, personal requirements and movement with the authorised production or event lead.
- Confirm the right people and resources are available at the right place and time.
- Handle operational changes and escalate decisions that require Founder or management approval.
- Close each engagement with pending-item and property checks.

Documentation Privacy and Handover

- Maintain current itineraries, contact directories, vendor records, checklists, pending-action registers and handover notes.
- Share personal, schedule and travel information only with authorised people on a need-to-know basis.
- Never retain personal files, access, cards, keys, documents or property outside approved custody.




- Ensure another authorised person can continue urgent work from the written record when the role-holder is unavailable.

Mandatory Candidate Requirements

- Valid passport with sufficient remaining validity for frequent international travel.
- Documented personal travel or work-travel history across multiple countries.
- Direct experience travelling to and operating in major international destinations, preferably including London or wider Europe and the United States.
- Prior work supporting a celebrity, film personality, UHNI or HNI principal, family office, artist or tour-management operation, luxury concierge client, or comparable high-profile individual.
- Experience independently managing international flights, visas, hotels, airport services, drivers, luggage, local vendors and itinerary changes.
- Experience supporting shoots, events, public appearances or executive travel.
- Robust spoken and written English; Tamil is strongly preferred. Additional languages are useful.
- Demonstrable confidentiality, emotional steadiness, personal discipline and willingness to work without public visibility.
- Able to provide verifiable employment references and specific examples of comparable work.

Preferred Background

- Celebrity or artist management, film production coordination, executive personal office, UHNI family office, luxury hospitality, aviation services, premium travel operations or high-end concierge services.
- Chennai-based or able to relocate to Chennai and work onsite.
- Approximately 7 or more years of relevant operational experience, including at least 3 years directly supporting a principal or high-profile client.
- Existing knowledge of reliable international travel partners and premium ground-service networks.

Pay: ₹90,000.00 - ₹120,000.00 per month
