About The Role
Our client, a growing UK-based business, is seeking an experienced Payroll &
- Finance Specialist to oversee its UK payroll process and support its day-to-day finance operations. The successful candidate will act as the primary liaison between the company, its employees, and the external payroll provider, ensuring that all payroll inputs are accurate, outputs are thoroughly reviewed, and employee queries are resolved promptly. This role requires a deep understanding of UK payroll legislation, statutory payments, and pension administration, along with strong analytical and communication skills. The Payroll &
- Finance Specialist will not be involved in routine data entry but will own the payroll process, challenge discrepancies, and ensure employees are paid accurately and on time. Additionally, the role involves supporting accounts payable, invoicing, reconciliations, and maintaining financial records, making it a comprehensive position for a payroll subject-matter expert committed to accuracy and compliance.
Qualifications The ideal candidate will possess hands-on UK payroll experience, gained directly from working with a UK-based employer or a UK payroll bureau. A minimum of 3 to 5+ years of practical payroll knowledge is essential, with a strong grasp of PAYE, National Insurance, tax codes, pensions, and statutory payments such as SSP, SMP, SPP, ShPP, and SAP.
A CIPP qualification or equivalent UK payroll training is required to demonstrate professional competence.
Experience managing payroll for approximately 50-100 employees, reconciling payroll to the general ledger, and working with outsourced payroll providers is crucial. The candidate should have excellent communication skills in English, both written and spoken, and be capable of explaining complex payroll concepts clearly to employees and stakeholders. Additionally, practical finance experience with accounts payable, invoice processing, and reconciliation using accounting software like Xero is necessary.
A high level of attention to detail, organizational skills, and the ability to meet strict deadlines are vital for success in this role.
Responsibilities
UK Payroll &
- Provider Management
- Own the monthly UK payroll timetable and serve as the main point of contact with the external payroll provider.
- Gather, validate, and submit payroll inputs such as new hires, terminations, salary adjustments, bonuses, commissions, overtime, and benefits, ensuring all employee details are correctly set up for payroll and pension contributions.
- Review the provider’s draft payroll outputs, perform gross-to-net checks, analyze variances month-on-month, verify tax codes, pension deductions, and statutory payments. Investigate discrepancies and challenge the provider to resolve issues promptly.
- Handle employee queries related to payslips, tax deductions, pensions, and statutory payments, providing clear and accurate explanations.
- Support UK pension administration, including auto-enrolment, employee opt-ins/outs, and updates, along with HMRC submissions and payments related to payroll.
- Reconcile payroll data with the general ledger, support payroll journal entries,
and maintain a comprehensive audit trail of payroll transactions and adjustments.
- Ensure consistency of payroll information across HRIS, payroll provider systems, and finance records, keeping abreast of UK payroll, tax, and pension legislation updates.
HR &
- People Administration
- Maintain accurate employee records within the HRIS, including onboarding, offboarding, salary changes, and leave data.
- Assist with onboarding and offboarding processes, ensuring all documentation and system updates are completed accurately.
- Generate routine reports such as headcount, new hires, and departures to support HR and management needs.
Finance &
- Accounts Payable Support
- Process supplier invoices, ensure accurate coding, and enter transactions into Xero, matching invoices against purchase orders and supporting documents.
- Follow up on missing approvals, resolve invoice discrepancies, and maintain supplier records and bank statement reconciliations.
- Manage the accounts payable inbox, perform bank reconciliations, and investigate unmatched or unusual transactions.
- Handle employee expenses, support month-end closing activities, and assist with journal entries related to finance administration.
What We're Looking For
- Hands-on experience with UK payroll, gained directly through employment with a UK-based organization or payroll bureau, is mandatory.
- 3-5+ years of practical UK payroll experience, with strong knowledge of PAYE, National Insurance contributions, tax codes, pensions, and statutory payments such as SSP, SMP, SPP, ShPP, and SAP.
- Relevant professional qualification such as CIPP or equivalent UK payroll training.
- Experience managing payroll for around 50-100 employees, with a proven track record of reviewing payroll output, identifying discrepancies, and liaising effectively with external providers.
- Ability to reconcile payroll data with accounting systems like Xero and support month-end finance processes.
- Excellent communication skills in English, capable of explaining payroll concepts clearly
