Job title: Office Manager

Company: TiE Chandigarh

Location: Phase 8B, Mohali

Job type: Full time, Permanent

Schedule: Day shift; extended hours, weekends and evenings during events

Experience: 4–5 years minimum relevant experience

Education: Graduate; commerce, accounts, finance, business administration or operations preferred

Be the operational backbone of a 400-plus-member entrepreneurs' chapter — records, trackers, programmes, members and the office, owned end to end.

About TiE Chandigarh

TiE Chandigarh is a chapter of TiE, the global not-for-profit network of entrepreneurs founded in Silicon Valley on the principle of "Give Back to the Community", with more than 60 chapters worldwide. Established in 2003, the chapter serves entrepreneurs, angel investors, mentors and institutions across Punjab, Haryana, Himachal Pradesh and Chandigarh.

An Executive

Council of charter members — business leaders who volunteer their time — leads the chapter, supported by a professional secretariat based at the AIC–ISB Mohali Campus.

Events and programmes are the heart of our work. TiECON Chandigarh, the flagship annual conference, brings together 2,000+ founders, 80+ speakers and 100+ exhibitors over three days; the TiE AI Summit, held with the Government of Haryana, was an official pre-summit event of the India AI Impact Summit 2026. Through the year we run TiE Women, TiE University, TiE Young Entrepreneurs (TYE), a cohort-based mentorship programme, knowledge sessions, member connects and the TiE Chandigarh Angel Investors network.

TiE Global has recognised the chapter with the Best Emerging Chapter, Best Support to Youth Entrepreneurs, Best Business Model and Best Chapter (Category A) awards.

About the role

We are looking for a highly organised, dependable and people-oriented professional to run the chapter's day-to-day administrative and operational functions. This is a position of real responsibility: you will be the central point of coordination for organisational records, databases, programme trackers, office administration and member and stakeholder coordination. You report to the Executive Director.

The role suits someone comfortable working independently, who communicates confidently with senior business leaders, has a strong command of spreadsheets and digital tools, and takes full ownership of systems and processes — someone who enjoys working with people while being exceptionally disciplined about documentation, data accuracy, record-keeping and follow-ups.

Please read before applying: events are at the core of what we do

Events and activities are central to all TiE Chandigarh operations. During events, and especially in the weeks leading up to and during TiECON Chandigarh, this role requires extended working hours, on-ground presence and availability in line with the event schedule, including early mornings, late evenings and weekends.

Key responsibilities

Data and record management

- Maintain member, sponsor, partner and stakeholder databases,

- Keep all digital records structured, current and easily retrievable, with backups and archives
- Create and maintain reporting dashboards and trackers; enforce data accuracy and documentation standards

Spreadsheet and digital systems
- Build structured databases and trackers in Google Sheets and Microsoft Excel using formulas, functions and lookups
- Sort, filter, validate and conditionally format large volumes of information; use pivot tables and basic analysis to produce reports
- Improve existing trackers and identify opportunities to strengthen operational tracking

Physical record management
- Maintain organised physical files with clear filing and indexing; coordinate digitisation of records
- Maintain the confidentiality and security of organisational records at all times

Programme and event coordination
- Maintain programme calendars and trackers; coordinate timelines, deliverables and follow-ups across committees and volunteers
- Support event planning and on-ground execution; track registrations, participation, feedback and outcomes; maintain post-event records

Member and stakeholder coordination
- Respond professionally and promptly to member queries; coordinate meetings and appointments; ensure a welcoming experience for members and visitors
- Maintain regular communication and follow-ups with sponsors, partners, speakers and institutions

Office administration

- Support the leadership and executive team with administrative coordination

Financial and basic accounts coordination
- Maintain financial records, invoices, payments and expense and programme-related records (not primarily an accounting role)
- Coordinate with accountants and auditors; support basic financial reporting and reconciliations

Requirements (essential)

- Minimum 4–5 years of relevant professional experience
- Excellent verbal and written communication in English
- Strong command of Google Workspace; advanced working knowledge of Google Sheets and Microsoft Excel (formulas, lookups, pivot tables, filters, validation)
- Strong organisational and documentation skills with meticulous attention to detail
- Ability to manage multiple priorities with strong follow-up and coordination
- Comfortable working independently and taking ownership
- Professional, confident interpersonal skills
- High level of integrity and confidentiality
- Willingness to work extended hours and be available as per the event schedule, particularly around TiECON

Preferred

- Background in commerce, accounts, finance, business administration or operations
- Experience with membership organisations, associations, professional bodies, startups or business communities
- Experience managing databases and CRM systems
- Familiarity with event or programme management
