Working Schedule

Working Hours: 10:00 AM–7:00 PM

Working Days: 6 days per week

Lunch Break: 1 hour

Weekly Off: 1 day

Role Overview

We are looking for an experienced, organised, and technology-proficient Executive Assistant to the Managing Director to coordinate business priorities, drive execution, and support process improvement across all companies and departments.

This is an ownership-driven role, not limited to calendar management or administrative assistance. The candidate must translate the MD’s instructions into actionable tasks, coordinate with the people responsible, resolve follow-up gaps, and track assignments through to completion.

Strong hands-on IT and AI skills, advanced Excel proficiency, and previous professional experience using CRM systems are mandatory. The role also includes supporting business automation and preparing for and attending exhibitions.

Mandatory Educational Qualifications

Candidates must hold at least one of the following:

- MBA in Finance
- Chartered Accountant (CA)
- Company Secretary (CS)
- BA LL.B. / Qualified Advocate
- B.Tech in Computer Science, Computer Engineering, Information Technology (IT), or Food Technology
- M.Tech in Computer Science, Computer Engineering, or Food Technology

BA, B.Com, B.Sc., or M.Sc. alone do not meet the qualification requirement. Candidates with these degrees may apply only if they also hold an eligible qualification listed above. BA LL.B. is specifically eligible.

Eligible Experience Backgrounds

Candidates must have a minimum of 5 years of relevant professional experience. Applicants with 10 years or more will be preferred.

Relevant backgrounds include Executive Assistant (EA), Business Development, Research & Development (R&D;), or HR Manager roles.

Previous employment specifically as an EA is not compulsory. Candidates from the other listed backgrounds may apply, provided they meet the educational requirements and demonstrate the required coordination, ownership, CRM, IT, and AI capabilities.

Experience in manufacturing, nutraceuticals, pharmaceuticals, food processing, or a multi-company environment will be an advantage.

Key Responsibilities1. Executive Support and Communication

Manage the MD’s calendar, appointments, meetings, travel arrangements, and reminders. Prepare professional emails, letters, presentations, briefing notes, and correspondence for review. Organise information and highlight matters requiring the MD’s attention or decision.

1. Ownership and Execution





Convert instructions into clearly defined tasks with responsible persons, deadlines, and expected outcomes. Maintain a central action tracker, proactively follow up, identify obstacles, and verify completion. Take responsibility for follow-through—not merely forwarding instructions or sending reminders. Escalate delays with relevant facts, their likely impact, and practical options for resolution.

1. Coordination Across Companies and Departments

Coordinate with Sales, Business Development, R&D;, Procurement, Stores, Production, QA/QC, Compliance, Dispatch, Accounts, Finance, and HR across all companies managed by the MD. Collect updates, track dependencies between departments, and ensure teams understand management priorities. Coordinate within the authority delegated by the MD and obtain approvals where required.
1. Business Automation and AI Implementation

Help the MD identify repetitive work, manual reporting, communication gaps, and inefficient processes across all companies and departments. Map existing workflows and support practical automation through CRM systems, digital forms, approval workflows, automated reminders, dashboards, reporting tools, and appropriate AI applications. Coordinate with internal teams and technology vendors for implementation, testing, documentation, and troubleshooting.

Support employee adoption and training, monitor whether the systems are being used, and track improvements in accuracy, turnaround time, and manual effort.

1. CRM Usage and Process Discipline

Use CRM and task-management systems to maintain records, monitor assignments, track follow-ups, and prepare management reports. Identify missing updates, overdue tasks, incomplete information, and gaps in team usage. Previous hands-on use of a CRM in a professional role is compulsory. Experience with Bitrix or a comparable CRM/task-management platform will be an advantage.

1. MIS, Reporting, and Management Reviews

Prepare Excel trackers, management information system (MIS) reports, dashboards, and presentations. Consolidate departmental data, check its completeness and accuracy, and highlight exceptions, pending decisions, and overdue work. Prepare meeting agendas, record minutes, document decisions, and track action items before subsequent reviews.
1. Exhibition Preparation and Attendance

Plan and coordinate exhibition participation, including registrations, booth arrangements, vendor coordination, catalogues, product samples, displays, logistics, travel, and meeting schedules. Attend exhibitions and business events as required,



assist the MD during meetings, and coordinate with participating teams. Ensure leads and enquiries are captured in the CRM, assigned appropriately, and followed up after the event. Prepare post-exhibition summaries covering expenses, meetings, leads, and outcomes.

1. Confidentiality and Special Projects

Maintain organised management records and protect sensitive company, financial, employee, customer, and commercial information. Support research, comparisons, business initiatives, and special projects assigned by the MD. Use approved AI tools responsibly, verify their outputs, and protect confidential information from unauthorised access or disclosure.

Essential Skills and Attributes

Strong IT capability: Confident, independent use of business software, digital collaboration tools, reporting systems, and workflow applications. Ability to understand business requirements and coordinate effectively with technical teams.

Practical AI proficiency: Hands-on use of AI tools for research, drafting, analysis, reporting, and process improvement. Candidates must demonstrate practical application, not just familiarity with tool names.

Advanced Excel skills: Proficiency with formulas, lookups, PivotTables, sorting, filtering, data validation, reporting trackers, and dashboards.

Professional communication: Strong spoken and written English and Hindi, including business correspondence, meeting documentation, and communication with senior stakeholders.

Ownership-driven approach: Proactive problem-solving, persistent follow-through, sound judgement, attention to detail, and the ability to manage priorities without repeated reminders.

Mandatory Round 2 Assessment A 45-minute practical test will be conducted in Round 2. Clearing this test is mandatory.

The assessment will evaluate Excel and data handling, practical IT and AI skills, CRM and workflow understanding, automation problem-solving, written communication, and prioritisation.

Only candidates who clear the test will be considered for further selection. Qualifications, previous designations, or years of experience do not replace this requirement.

Performance Expectations

Performance will be assessed on timely and verified task closure, reporting accuracy, coordination across companies and departments, CRM discipline, implementation and adoption of automation, exhibition preparedness and follow-up, and reduction of the MD’s administrative workload.

Additional Requirements

This is an on-site position in Mohali. Candidates must be willing to travel for exhibitions, business meetings, and other company requirements. Occasional flexibility may be required for exhibitions, audits, client visits, and management meetings.

Job Type: Full-time

Pay: ₹40,000.00 - ₹60,000.00 per month
