Clinic Operations Manager – OPD

We are looking for an experienced Clinic Operations Manager to take responsibility for the smooth day-to-day functioning of our outpatient department (OPD). This is a hands-on operational role requiring active supervision of patient flow, appointments, reception and OPD staff.

Key Responsibilities

- Manage the daily OPD operations and ensure smooth patient flow from registration to consultation and completion of the visit.
- Supervise reception, appointment and OPD support staff and ensure assigned duties are completed on time.
- Manage daily and next-day appointment scheduling, confirmations, cancellations and waiting-list patients.
- Ensure cancelled appointment slots are filled efficiently wherever possible.
- Ensure the next day's appointment schedule and required patient information are prepared in advance.
- Coordinate with OPD staff so that relevant previous investigations and clinical records are available before consultation.
- Monitor patient waiting times and proactively resolve delays and bottlenecks.
- Coordinate between doctors, reception, OPD assistants and other clinic departments.
- Ensure doctors' instructions and established clinic procedures are correctly communicated and followed.
- Manage staff attendance, punctuality, duty allocation, leave arrangements and proper handovers.
- Ensure adequate staff coverage so that clinic operations are not affected by absence of individual employees.
- Implement and monitor Standard Operating Procedures (SOPs) and maintain operational discipline.
- Handle patient concerns and operational issues professionally and promptly.




- Identify recurring operational problems and implement practical improvements.
- Provide management with a brief daily operational report covering appointments, cancellations, delays, staffing issues and significant incidents.
- Take ownership of the overall readiness and smooth functioning of the OPD each day.

Candidate Requirements
- Minimum 5 years of experience in hospital or clinic operations.
- At least 2 years of experience in a supervisory/team-management role in a healthcare setting.
- Practical experience in OPD management, patient flow, appointment management and staff supervision.
- Graduate in any discipline.
- Qualification in Hospital Administration / Healthcare Management is preferred but not mandatory.
- Previous experience in an eye hospital, speciality clinic or busy consultant OPD will be an advantage.
- Valuable computer skills and ability to work with appointment/EMR software, Excel/Google Sheets, email and other digital systems.
- Good communication and problem-solving skills.
- Ability to manage staff firmly and professionally and ensure accountability.
- Ability to work independently, prioritise tasks and meet strict operational deadlines.
- Malayalam proficiency required; working knowledge of English required.

Pay: ₹35,000.00 - ₹45,000.00 per month
