We are looking for a responsible and organized Admin Executive to manage day-to-day office administration, employee records, company assets, and on-site operational requirements.

Job Summary

The Admin Executive will be responsible for ensuring the smooth functioning of office operations, maintaining accurate employee and asset records, coordinating on-site activities, and handling administrative tasks within and outside the office. The ideal candidate should have strong organizational skills, proficiency in Excel and documentation, and the ability to coordinate with employees, vendors, and management.

Candidates with an MBA or MCA qualification who are capable of handling both administrative and operational responsibilities are preferred.

- Key Responsibilities1. Office Administration & OperationsManage and coordinate day-to-day office administrative activities.
- Ensure the office is well-maintained, organized, and equipped with necessary supplies.
- Coordinate with housekeeping, maintenance, security, and other service providers.
- Monitor office infrastructure, utilities, and essential facilities.
- Maintain records of office expenses, purchases, and administrative requirements.
- Coordinate with vendors and service providers for timely delivery and issue resolution.
- Support management in implementing office policies and administrative procedures.
- Ensure smooth coordination between departments for operational requirements.
- 2. Employee Records & Master Data ManagementCreate and maintain accurate Employee Master Sheets and employee records.
- Update employee information, including joining dates, departments, designations, contact details, and employment status.
- Maintain records of current joiners, exits, transfers, and employee movements.
- Coordinate with HR to ensure employee data is updated and properly documented.
- Maintain attendance-related records and coordinate with HR/Admin teams for discrepancies.
- Organize employee documents and ensure proper filing and record management.
- Maintain confidentiality of employee and company information.
- 3. Asset Management & InventoryMaintain and regularly update the Company Asset Master Sheet.
- Record details of laptops, desktops, headphones, chargers, accessories, and other company assets.




- Maintain asset allocation records, including employee name, asset ID, serial number, and allocation date.
- Track asset transfers, returns, replacements, repairs, and maintenance.
- Conduct periodic physical verification of company assets.
- Coordinate with employees regarding asset acknowledgements and returns.
- Report missing, damaged, or unreturned assets to the concerned authority.
- Maintain proper documentation for asset issuance and recovery.
- Ensure inventory records match the actual assets available in the office.
- 4. On-Site & Field Administrative Work Handle administrative tasks that require visiting vendors, service providers, offices, or other external locations.
- Coordinate office-related purchases, deliveries, documentation, and service visits.
- Visit banks, courier offices, vendors, or other locations for official work, whenever required.
- Coordinate logistics for office events, meetings, seminars, and company activities.
- Ensure timely completion of assigned on-site operational tasks.
- Maintain records of external visits, expenses, and related documentation.
- Represent the company professionally while coordinating with external parties.
- 5. Documentation & ReportingMaintain physical and digital records of administrative documents.
- Prepare daily, weekly, and monthly administrative reports.
- Maintain office inventory, stationery, and consumables records.
- Track administrative expenses and submit supporting bills and documents.
- Prepare reports related to employee records, assets, office supplies, and operational activities.
- Ensure all records are updated, organized, and easily accessible when required.
- 6. Coordination & SupportCoordinate with HR, Finance, IT, Sales, and other departments for administrative requirements.
- Support onboarding and exit formalities from an administrative perspective.
- Assist in arranging workstations, access cards, equipment, and other requirements for new employees.
- Coordinate with IT or vendors for employee asset-related issues.




- Handle employee administrative queries and escalate unresolved issues to management.
- Perform other administrative and operational duties assigned by the reporting manager.
- Required Qualifications MBA or MCA preferred.
- Bachelor's degree in any discipline may also be considered based on relevant experience.
- 1–3 years of experience in administration, office operations, facility coordination, or a similar role preferred.
- Freshers with strong Excel, documentation, and coordination skills may also be considered.
- Required SkillsStrong knowledge of MS Excel and Google Sheets.
- Experience in maintaining employee master sheets and asset inventory records.
- Good documentation, filing, and record-keeping skills.
- Strong organizational and time-management abilities.
- Good communication and interpersonal skills.
- Ability to coordinate with employees, vendors, and external service providers.
- Ability to handle multiple administrative tasks efficiently.
- Basic knowledge of office procurement, inventory, and vendor coordination.
- Comfortable handling both desk-based office work and in office responsibilities.
- Strong attention to detail and accuracy.
- Professional attitude, reliability, and problem-solving skills.
- Preferred Skills Experience in HR administration or coordination with HR teams.
- Knowledge of employee onboarding and exit documentation.
- Familiarity with asset management systems or inventory software.
- Advanced Excel knowledge, including filters, pivot tables, and basic formulas.
- Experience coordinating office events, seminars, or business operations.
- Ability to independently manage administrative tasks and follow up until completion.
