Job Title: Medical Receptionist / Front Desk Executive

Department: Reception / Administration

Reports To: Clinic Manager / Hospital Administrator / Practice Manager

Job Summary:

A Medical Receptionist is responsible for managing the front desk of a hospital, clinic, or medical practice. The role involves welcoming patients, scheduling appointments, handling calls, maintaining patient records, coordinating with doctors and medical staff, processing payments, and ensuring smooth day-to-day administrative operations.

Key Responsibilities

- Welcome and assist patients and visitors professionally.
- Register new patients and update existing patient information.
- Schedule, reschedule, and cancel appointments.
- Manage telephone calls, emails, and patient inquiries.
- Maintain accurate and confidential patient records.
- Verify patient details, identification, and insurance information where applicable.
- Coordinate appointments with doctors, nurses, laboratories, and other departments.
- Inform patients about appointment timings, required documents, and clinic procedures.
- Manage the reception area and patient waiting list.
- Prepare and maintain medical and administrative documents.
- Handle billing, receipts, payments, and basic insurance-related paperwork.
- Maintain daily appointment schedules and doctor availability.
- Follow patient privacy and confidentiality requirements.
- Assist patients with directions and general information about hospital/clinic services.
- Coordinate laboratory reports, prescriptions, referrals, and other documents as directed.
- Maintain office supplies and report shortages to management.




- Handle complaints politely and escalate medical or administrative issues when necessary.
- Perform data entry and maintain electronic or paper-based records.
- Follow clinic/hospital policies, infection-control procedures, and workplace safety requirements.

Educational Qualification

Typically

- 12th pass or equivalent for entry-level positions.
- Diploma/certificate in Medical Reception, Hospital Administration, Healthcare Administration, or a related field is advantageous.
- Graduate degree in healthcare/hospital administration can be preferred for larger hospitals.

Experience
- Freshers may be considered for entry-level positions.




- 1–3 years of experience in a clinic, hospital, diagnostic centre, or healthcare reception is commonly preferred.
- Experience with hospital/clinic management software is an advantage.

Languages

Depending on the workplace, proficiency in:

- English
- Hindi
- Local/regional language

is useful, particularly for patient communication.

Typical Daily Duties

Morning

- Open and prepare the reception area.
- Check the day's doctor schedules and appointments.
- Review patient bookings and pending follow-ups.
- Prepare registration and appointment information.

During the day

- Register arriving patients.
- Answer calls and respond to inquiries.
- Schedule appointments.
- Coordinate patient flow with medical staff.
- Handle billing/payment-related tasks.
- Update patient records.
- Manage waiting lists and cancellations.

End of day

- Reconcile payments and receipts.
- Check appointment records.
- Complete pending documentation.
- Prepare reports if required.
- Secure patient records and reception documents.

Important Qualities A good Medical Receptionist should be calm, polite, organized, patient, trustworthy, accurate, and comfortable dealing with people, especially when patients or family members are stressed or upset.

Important: A Medical Receptionist generally performs administrative and patient-service duties, not diagnosis or medical treatment. Any clinical question or medical emergency should be directed to the appropriate healthcare qualified.

Pay: ₹8,892.64 - ₹19,400.76 per month
