Invoice Auditor - PO and Non-PO (AR/AP Dept)

The employee shall perform the following responsibilities under the designation of Invoice Auditor - PO and Non-PO, in accordance with U.S. accounting practices and internal SOPs:
Invoice Processing and Auditing Responsibilities

1.1. Audit all PO-based invoices daily, ensuring accurate 3-way matching between the Purchase Order, Goods Receipt/Delivery Confirmation, and Invoice.

1.2. Review and audit Non-PO based invoices with a focus on proper documentation (contracts, approvals, communication), correct GL classification, tax coding, and payment terms.

1.3. Ensure 100% accuracy in invoice entry: verifying invoice amounts, vendor details, GL accounts, cost centers, Item and due dates as per company policy and U.S. accounting standards.

1.4. Validate supporting documentation and ensure all required approvals are in place before the invoice is marked as cleared for payment.

1.5. Identify and flag discrepancies, duplicates, or incorrect entries, and coordinate with relevant departments to resolve issues promptly.

Review each invoice for sales tax and use tax compliance, vendor type classification, and 1099 applicability as per U.S. regulations.

1.7. Take full responsibility for invoice creation and data entry in the absence of junior team members to ensure uninterrupted workflow.
Weekly & Periodic Reporting Responsibilities

2.1. Every Tuesday, PO and Non-PO invoices are received for processing. The employee must audit and track this data diligently.

2.2. Prepare and submit a Weekly Completion & Audit Report every Monday (following the Tuesday data receipt), to both:
Internal Office Management, and
U.S. Counterpart / Client Team

This report must confirm:
Completion of invoice entries
Audit status (errors found and resolved)
Overall completeness and compliance of work
Any pending or escalated items
