Project Manager – Operations

Function Operations Project Management

Location Mumbai

Reporting To Founder

Role Level Manager

Employment Type Full-time

1. Role Purpose

To plan, coordinate and drive the end-to-end execution of STELCORE's business and operational projects. The role will coordinate people, processes, client/service deliverables, internal handoffs, timelines and dependencies to ensure operational work moves from plan to completion. It will actively follow up on commitments, identify bottlenecks, resolve execution gaps, improve operating processes and provide management with clear visibility of progress, risks and actions. This is an Operations role, not a technical or IT project management role.

2. Fundamental Outcome

STELCORE's operational initiatives, client/service deliverables and cross-functional work should move from plan to measurable completion with clear ownership, disciplined follow-up, visible risks, timely decisions and minimal avoidable friction.

This is not a passive status-reporting role. The Project Manager – Operations is expected to actively drive business execution, coordinate across Operations and support functions, follow up on deliverables, resolve or escalate barriers, improve processes and step in wherever operational execution is at risk of stalling. The role does not own software development, IT delivery, technology architecture or technical project management.

3. Key Accountabilities

Operations Planning & Execution

- Define project plans, milestones, deliverables, owners, dependencies and critical paths for each project.
- Break projects down into clear tasks and work packages assigned to the right team members.
- Ensure team members and project owners commit to realistic timelines and maintain up-to-date execution plans.
- Track scope, timelines, resources and dependencies across all active projects.
- Establish consistent project review mechanisms and execution standards.

- Drive timely resolution of blockers and overdue actions.
- Identify schedule slippage early and initiate recovery plans before delays compound.
- Ensure changes to scope, timeline or deliverables are documented and approved by the relevant owner.

Operations Task & Action Tracking

- Maintain an operations action tracker covering assigned activities, owners, due dates, client/service deliverables, pending items and current status.
- Follow up directly with team members and process owners on pending, delayed or missed operational commitments.
- Flag missed deadlines promptly — to the team member first, and to management where unresolved or recurring.
- Maintain a record of recurring missed tasks or delays by team member to identify patterns.
- Confirm task closure with the relevant stakeholder rather than relying on self-reported status alone.

Operations Process Improvement

- Identify operational processes causing delays, duplication, rework, unclear ownership, client-service gaps or unnecessary follow-up.
- Map current-state operational processes and identify root causes of recurring execution, service or coordination problems.
- Design simple, practical operating processes with clear ownership, handoffs, decision points, controls and turnaround expectations.
- Lead implementation of process improvements across the relevant team members/functions.
- Track whether improvements actually reduce delays or rework, not just whether they were implemented.
- Identify opportunities to simplify, standardise and automate routine operational tracking and coordination work.

- Institutionalise what works through straightforward SOPs, checklists and standard templates.

Operational Risk, Issue & Dependency Management

- Maintain a risk and issue log for operational initiatives, distinguishing emerging risks from active operational issues.
- Identify cross-functional, client, vendor or team dependencies before they turn into service delays or missed commitments.
- Assign owners, mitigation actions and due dates for each risk or issue.
- Escalate risks and unresolved issues according to impact and urgency.
- Track overdue actions and unresolved blockers until closure.
- Establish recovery plans for materially delayed projects or tasks.

Operations Reporting & Management Visibility

- Maintain an operations dashboard showing initiatives, deliverables, assigned owners, completed items, pending items, overdue actions and key operational risks.
- Prepare periodic weekly and monthly management reports covering operational progress, service/client deliverables, pending actions, risks, bottlenecks and required decisions.
- Highlight projects at risk, unresolved dependencies, and team members with repeated missed tasks for management attention.
- Keep all tracking current — status should reflect same-day reality, not last week's update.

Stakeholder, Client & Cross-Functional Coordination

- Work across Operations, functional owners, Finance/HR/Compliance/Business teams and, where relevant, clients, external partners and vendors involved in operational work.
- Drive execution across stakeholders who may not report directly to the role through structured follow-up, clear ownership and escalation.
- Build alignment around outcomes, responsibilities, dependencies and deadlines.
- Resolve day-to-day conflicts relating to priorities, resourcing, scope or sequencing; escalate where they cannot be resolved directly.
