About the Position
We are a Canada-based company looking for an experienced and confident Canadian Immigration Team Lead to join our growing team.
The ideal candidate will have strong experience in the Canadian immigration field, excellent English communication skills, strong computer skills, and a proven ability to manage and supervise an immigration team of 5–6 employees.
This is a hands-on leadership position. The successful candidate will be responsible for supervising the team, reviewing immigration files, ensuring applications are prepared accurately and on time, supporting team members with complex cases, and maintaining high standards of quality and client service.
The candidate must be comfortable working independently and communicating with a Canada-based management team during Canadian Eastern Time business hours.
Key Responsibilities Team Management
- Manage and supervise a team of approximately 5–6 immigration staff.
- Assign and distribute work among team members based on workload and priorities.
- Monitor team productivity, performance, quality, and deadlines.
- Review team members' work and provide feedback and guidance.
- Train new employees and provide ongoing coaching to the team.
- Handle team questions, escalations, and day-to-day operational issues.
- Ensure team members follow company policies, procedures, and immigration processing standards.
- Conduct regular team meetings and provide updates to management.
Immigration Case Management
- Review and quality-check Canadian immigration applications and supporting documents.
- Ensure applications are complete, accurate, properly organized, and submitted within required timelines.
- Identify missing information, documentation issues, inconsistencies, and potential concerns.
- Assist team members with difficult or complex immigration cases.
- Monitor case progress and ensure important deadlines are not missed.
- Maintain accurate case records and internal tracking systems.
- Ensure consistent quality and processing standards across the team.
- Stay informed about changes to Canadian immigration programs, procedures, forms, and requirements.
Client & Internal Communication
- Communicate professionally and confidently with clients and internal team members.
- Respond to questions and provide clear information regarding case status and documentation.
- Communicate effectively with Canada-based management.
- Escalate important or complex issues to management when appropriate.
- Maintain a professional and positive attitude when dealing with clients and team members.
Administration & Computer Skills
- Maintain accurate case information in company systems and databases.
- Use immigration case-management software, Microsoft Office, Google Workspace, email, spreadsheets, and other online tools.
- Prepare reports and track team performance and case progress.
- Maintain organized electronic files and documentation.
- Help improve internal processes, checklists, templates, and workflows.
- Work efficiently in a fully remote environment.
RequirementsEssential Qualifications
- Minimum 3–4 years of experience managing or supervising an immigration team.
- Strong experience in the Canadian immigration industry.
- Experience reviewing and/or preparing Canadian immigration applications.
- Excellent English speaking and writing skills.
- Excellent verbal and written communication skills.
- Strong computer skills and ability to learn new software quickly.
- Confident, professional, and comfortable communicating with clients and management.
- Strong organizational and time-management skills.
- Excellent attention to detail.
- Ability to manage multiple cases, employees, and deadlines at the same time.
- Ability to work independently with minimal supervision.
- Experience working with a Canada-based company, immigration firm, or Canadian immigration professional is an asset.
- Must be comfortable working Canadian Eastern Time (ET) hours.
