- Manage the complete accounts receivable cycle from billing to payment realization.
- Prepare and verify customer invoices, debit notes, credit notes, and related documents.
- Maintain accurate customer-wise outstanding statements.
- Record and monitor customer receipts in the accounting system.
- Ensure all receivable transactions are properly posted and supported by documentation.
- Monitor daily, weekly, and monthly receivables.
- Identify overdue accounts and take timely corrective action.
B. Customer Account Reconciliation
- Perform regular customer ledger reconciliation.
- Reconcile customer statements with company books.
- Identify and resolve discrepancies in invoices, payments, credit notes, and debit notes.
- Coordinate with customers regarding outstanding balances and account differences.
- Ensure unidentified receipts are properly investigated and adjusted.
C. Collection & Follow-Up
- Follow up with customers for outstanding payments through calls, emails, and other approved communication channels.
- Prepare customer-wise collection schedules.
- Monitor payment commitments and ensure timely follow-up.
- Escalate long-pending and high-value outstanding amounts to the Accounts Manager.
- Coordinate with the Sales/Business Development team for collection-related issues.
- Maintain proper records of collection follow-ups and customer commitments.
D. Ageing Analysis
- Prepare and review the Accounts Receivable Ageing Report.
- Monitor outstanding amounts based on ageing buckets such as:
- 0–30 Days
- 31–60 Days
- 61–90 Days
- 91–180 Days
- Above 180 Days
- Identify overdue and high-risk accounts.
- Highlight critical receivables to management.
- Support management in developing collection strategies.
E.
Corporate & Institutional Customers
- Manage receivables from corporate, institutional, wholesale, and other credit customers.
- Verify purchase orders, invoices, delivery documents, and payment terms.
- Track customer-specific credit limits and agreed payment terms.
- Coordinate with the Sales and Dispatch teams to resolve billing or delivery-related disputes.
- Ensure timely submission of invoices and supporting documents to customers.
F. Credit Control
- Monitor customer credit limits and payment terms.
- Ensure sales on credit are made according to approved company policies.
- Review customers with overdue balances before further credit is extended.
- Escalate customers exceeding approved credit limits or payment terms.
- Support management in reviewing customer creditworthiness.
G. Bank & Receipt Reconciliation
- Record customer collections received through:
- Bank transfers
- NEFT/RTGS/IMPS
- Cheques
- UPI/Online payments
- Other approved payment modes
- Reconcile bank receipts with customer ledgers.
- Follow up on bounced or dishonoured cheques.
- Ensure timely adjustment of receipts against the correct invoices.
- Provide required documents and schedules during internal and statutory audits.
- Maintain proper supporting documents for receivable transactions.
- Assist in audit queries related to customer balances and collections.
- Ensure compliance with company accounting policies and applicable statutory requirements.
- Maintain confidentiality of financial and customer information.
