Industrial Marketing is looking for an organised, responsible and people-oriented HR Associate to manage day-to-day HR activities, including recruitment, onboarding, attendance, employee records, payroll coordination, performance follow-up and HR administration.
The selected candidate will work closely with management and departmental heads to ensure smooth HR operations and compliance with company policies.
Key ResponsibilitiesRecruitment and Onboarding
- Understand manpower requirements from management and department heads.
- Prepare and publish job advertisements on suitable recruitment platforms.
- Screen applications and shortlist suitable candidates.
- Conduct initial telephonic interviews and coordinate further interview rounds.
- Maintain an updated candidate database and recruitment tracker.
- Prepare offer letters, appointment letters and other joining documents.
- Collect and verify employee documents during onboarding.
- Coordinate employee induction and departmental orientation.
- Maintain recruitment status and vacancy reports.
Attendance and Payroll Coordination
- Monitor daily attendance, late arrivals, absenteeism, leave and working hours.
- Maintain monthly attendance and leave records.
- Prepare accurate attendance inputs for payroll processing.
- Coordinate salary, incentive, deduction and overtime information with accounts and management.
- Address basic employee queries related to attendance, leave and salary.
- Maintain confidentiality of payroll and employee information.
Employee Records and HR Administration
- Create and maintain employee personal files and digital HR records.
- Update employee details, designation, salary, experience and reporting structure.
- Prepare HR letters, internal communications, warnings and other official documents.
- Maintain records of probation, confirmation, transfer, promotion and resignation.
- Track the validity of employee documents and licences, wherever applicable.
- Ensure proper filing and confidentiality of all HR documents.
Employee Relations and Engagement
- Act as the first point of contact for routine employee concerns.
- Support management in maintaining discipline and a positive work environment.
- Communicate company policies, procedures and management instructions to employees.
- Coordinate employee meetings, engagement activities and internal communication.
- Record employee grievances and escalate serious matters to management.
- Support conflict resolution and disciplinary procedures as instructed.
Performance and Training Coordination
- Coordinate the preparation and communication of job descriptions, KRAs and KPIs.
- Support departmental heads in setting employee targets.
- Collect and maintain monthly employee performance reports.
- Coordinate probation and periodic performance reviews.
- Identify training requirements with department heads.
- Prepare training calendars and maintain training attendance and feedback records.
- Follow up on employee development and performance-improvement plans.
Exit Management
- Coordinate resignation acceptance, notice period and handover procedures.
- Conduct or coordinate exit interviews.
- Collect company assets and obtain departmental clearance.
- Prepare documents required for final settlement, relieving and experience certification.
- Update employee records following separation.
HR Compliance and Reporting
- Assist management in implementing HR policies and statutory requirements.
- Ensure that attendance, leave, employee and payroll-support records are accurate.
- Prepare daily, weekly and monthly HR reports.
- Track manpower strength, vacancies, new joiners, absenteeism, attrition and employee performance.
- Maintain confidentiality and ensure professional handling of employee information.
Key Performance Indicators
- Time taken to close vacancies.
- Joining ratio of selected candidates.
- Accuracy of attendance and payroll inputs.
- Completion of employee documentation and personal files.
- Employee absenteeism and attrition rate.
- Timely completion of onboarding and induction.
- Completion rate of performance reviews and training plans.
- Accuracy and punctuality of HR reports.
- Resolution time for employee queries and grievances.
Candidate Requirements
- Minimum 1–3 years of experience in recruitment, HR administration or general HR operations.
- Good communication and interpersonal skills.
- Ability to communicate effectively in Malayalam and English.
- Basic knowledge of recruitment, attendance, payroll coordination and labour compliance.
- Good working knowledge of MS Excel, MS Word, email and online recruitment portals.
- Strong documentation, coordination and follow-up skills.
- Ability to maintain confidentiality and handle employee matters professionally.
- Organised, disciplined and capable of working independently.
Educational Qualification
- Bachelor’s degree in Human Resources, Business Administration, Commerce or a related discipline.
- MBA/PGDM in Human Resources will be an added advantage.
