Role Overview
A Process Coordinator ensures that the designed (FMS) process runs seamlessly. She acts as the operational backbone—monitoring workflows, supporting users, catching issues early, and escalating appropriately to drive process integrity and continuous improvement.
Core Responsibilities
Process Ownership & Oversight
Serve as the daily guardian of the FMS, ensuring all users follow documented procedures and scheduled activities correctly.
Handle queries from process users—clarify steps, troubleshoot, and guide them through the correct procedures.
Follow‑Ups & Coordination
Track progress of outstanding actions (tasks, work orders, approvals).
Proactively follow up with stakeholders to ensure timely completion.
Serve as the primary liaison when issues arise, coordinating with the SCT Head to resolve escalations immediately. Prompt reporting to management is crucial.
Issue Detection & Escalation
Vigilantly audit process metrics (timeliness, completion, exceptions).
Identify breakdowns in procedure or tool usage and escalate without delay to managers or SCT Head.
Auditing & Quality Control
Perform regular and ad-hoc audits of process adherence and data accuracy.
Maintain logs of issues and resolutions, and prepare concise reports for management action.
Reporting & Communication
Update managers and stakeholders immediately about critical concerns.
Document findings, best practices, training needs, and improvement recommendations.
Training & Support
Guide and train FMS process users on procedural steps and tool usage.
Create FAQs, quick-reference guides, or checklists to support productive execution.
Technical Proficiency
Knowledge of Excel & Google Sheets
Comfortable managing process flows.
Basic data analysis skills to surface trends, bottlenecks, and efficiency gains.
