Job Title: Inventory Assistant
Department: Store Operations / Inventory
Location: Store / Warehouse
Employment Type: Full-Time
1. Job Purpose
The Inventory Assistant is responsible for supporting the day-to-day inventory and stock management activities of the store. The role involves receiving, checking, arranging, counting, recording, and maintaining stock accurately in both physical and system records.
The Inventory Assistant must ensure that the right products are available at the right location, stock records are accurate, and all inventory movements are properly documented.
2. Key ResponsibilitiesA. Stock Receiving & Verification
- Receive stock from the warehouse, suppliers, or other stores.
- Verify received products against invoices, stock transfer documents, and system records.
- Check product quantity, size, colour, model, barcode, and condition.
- Report shortages, excess quantities, damaged products, or mismatches immediately.
- Ensure all received stock is properly entered/updated in the system.
B. Physical Stock Management
- Arrange and organize products systematically in the godown/store.
- Ensure products are properly numbered, labelled, and stored.
- Maintain cleanliness and proper utilization of inventory storage areas.
- Ensure fast-moving and high-demand products are easily accessible.
- Prevent damage, loss, misplacement, or unauthorized movement of stock.
C. Inventory Counting & Reconciliation
- Conduct regular physical stock counts as instructed.
- Compare physical stock with system stock.
- Identify and report stock discrepancies.
- Assist in stock reconciliation and corrective actions.
- Maintain accurate records of inventory counts and adjustments.
D. Stock Transfer & Movement
- Prepare and process stock transfers between stores and warehouse locations.
- Verify quantities before dispatching or receiving transferred stock.
- Maintain proper documentation for every stock movement.
- Ensure no stock is moved without proper authorization/documentation.
E. Back-Order & Stock Availability
- Check product availability in the store and system.
- Identify unavailable or insufficient stock.
- Raise back-order requests when required.
- Coordinate with the Store Manager/Inventory In-Charge regarding stock requirements.
- Follow up on pending stock requirements.
F. Billing & Stock Documentation
- Maintain proper records of stock-related bills, transfer documents, and supporting documents.
- Ensure inventory documents are filed systematically.
- Assist in tracing stock-related documents whenever required.
- Report missing or incorrect documentation immediately.
G. Coordination with Store Team
- Coordinate with Sales Executives, Cashiers, ASM, Store Manager, and warehouse teams.
- Support the sales team by providing accurate information about product availability.
- Ensure requested products are located and supplied promptly.
- Communicate stock-related issues to the concerned person without delay.
3. System & Data Management
- Update inventory-related information accurately in the designated system/PDT.
- Scan and verify product barcodes where applicable.
- Ensure system stock and physical stock remain aligned.
- Avoid duplicate, incorrect, or unauthorized entries.
- Maintain confidentiality and accuracy of inventory information.
4. Qualifications
Minimum Qualification
.DEGREE/DEPLOMA
GOOD KNOWLEDGE IN EXCEL(PVOT TABLE ,VLOOK ETC..)
Preferred:
- Diploma or Graduate qualification in Commerce, Logistics, Retail Management, or a related field.
- Previous experience in retail, warehouse, inventory, or stock management will be an advantage.
5. Experience
- 0–2 years of experience in inventory, retail, warehouse, or store operations.
- Freshers with good numerical and organizational skills may also be considered.
- Experience in footwear, fashion, apparel, supermarket, electronics, jewellery, or other retail sectors is preferred.
6.Technical Skills:
- Good working knowledge of MS Excel
- Proficiency in VLOOKUP / XLOOKUP
- Good knowledge of Pivot Tables
- Ability to prepare and analyze inventory reports
- Strong data entry and data reconciliation skills
- Basic knowledge of Excel formulas and functions

The Inventory Assistant will be expected to maintain high standards in the following areas:
Inventory Accuracy
- Maintain high accuracy between physical and system stock.
- Minimize stock discrepancies and errors.
Stock Handling
- Ensure products are received, checked, arranged, and transferred correctly.
- Minimize product damage, loss, and misplacement.
Documentation
- Ensure all stock movements are properly documented.
- Maintain complete and accurate inventory records.
System Accuracy
- Ensure timely and accurate system/PDT updates.
- Avoid unauthorized or incorrect stock entries.
Responsiveness
- Provide timely stock availability information to the sales team.
- Complete assigned inventory tasks within the required timelines.
Compliance
- Follow company inventory procedures and instructions.
- Maintain proper stock security and confidentiality.
8. Reporting Structure
Inventory Assistant

The Inventory Assistant is responsible for immediately escalating major stock discrepancies, damaged stock, missing products, system errors, or unauthorized stock movements to the reporting manager.
9. Daily Responsibilities
The Inventory Assistant should ensure the following on a daily basis:
- Check and verify incoming stock.
- Update stock/system records.
- Arrange and maintain inventory.
- Support product requirements from the sales team.
- Check stock availability.
- Process authorized stock movements.
- Maintain stock-related documents.
- Identify and report discrepancies.
- Keep the inventory area clean and organized.
- Complete all assigned inventory tasks within the specified timeline.

The Inventory Assistant is expected to:

11. Success in the Role
A successful Inventory Assistant will ensure that:
Right Product + Right Quantity + Right Location + Accurate System Record + Proper Documentation = Effective Inventory Management
The overall objective of the role is to ensure accurate, organized, secure, and efficient inventory operations, thereby supporting smooth store operations and improving customer service.
Pay: ₹25,000.00 - ₹30,000.00 per month
