Job Title: Podcast Outreach and Scheduling Coordinator

About Knowledge Networks
Knowledge Networks produces three flagship podcasts — Regulating AI , CAIO Connect , and Indianness — that convene policy makers, industry leaders and cultural thinkers. We’re looking for a confident, creative and highly organized Booking Manager to own outreach, PR relationships and the end-to-end guest experience across all three shows. This is a hands-on role: you will build the guest pipeline, negotiate with PR teams, prepare high-profile guests and ensure on-brand, high-impact conversations.
What you’ll own
- Strategic outreach & pipeline building. Design and execute multi-channel outreach campaigns to attract high-profile guests (CEOs, CAIOs, regulators, top academics, cultural leaders). Build a diversified pipeline by working with guests directly, their PR teams/agencies, industry networks and earned channels.
- PR & agency partnership. Develop strong relationships with PR agencies and in-house press teams; co-create pitch strategies and manage approvals, embargoes and promotional windows.
- Guest lifecycle management. Own the guest funnel from identification → outreach → booking → briefing → interview → post-production promotion. Maintain meticulous records and handovers to production/marketing.
- Guest prep & briefing. Produce concise one-pagers and host briefing packs, run pre-interview prep calls, handle sensitive issues (NDAs, embargoes), and ensure guests are technically and editorially prepared.
- Scheduling & logistics. Coordinate complex calendars across time zones, manage travel or studio logistics when required, and run tech checks.
- Collaboration & promotion. Work closely with producers,
hosts and marketing to align guests with editorial goals and promotion plans. Package guests for social, clips and partner outreach.
- Data, contracts & process. Maintain and optimize the guest CRM (Zoho), track KPIs, , and improve booking processes and templates.
- Brand & reputation stewardship. Represent Knowledge Networks professionally to senior stakeholders and protect the shows’ editorial standards and relationships.
Qualifications & experience
Must-have
- 5+ years’ experience doing strategic outreach and booking for podcasts, TV, radio or high-profile interview series — with demonstrable success booking senior guests.
- Proven track record working directly with PR agencies and in-house press teams.
- Excellent written and verbal communication; polished pitch writing and negotiation skills.
- Strong project and calendar management skills; comfortable juggling many parallel bookings.
- Experience with CRMs or pipeline tools (Airtable, HubSpot, Notion, Salesforce), scheduling tools (Calendly), and remote recording platforms (Zoom, SquadCast, Riverside, etc.).
- High discretion and experience handling sensitive guest information, contracts and NDAs.
Nice-to-have
- Existing relationships with PR firms, journalists or senior leaders in tech, policy and culture — especially in AI and Indian media ecosystems.
- Familiarity with AI policy/regulation, enterprise AI roles (CAIO/CDAO) or contemporary Indian cultural discourse.
- Basic familiarity with contracts/honoraria and media law considerations.
