Position: Stock & Inventory Executive
Department: Stores / Inventory Management

Reporting To: Store Manager / Purchase Manager / Administration Manager
Job Summary The Stock & Inventory Executive will be responsible for managing hospital inventory, including medicines, medical consumables, surgical items, general stores, and other supplies. The role involves maintaining accurate stock records, ensuring timely availability of materials, monitoring stock levels and expiry dates, and coordinating with various hospital departments and suppliers.
Key Responsibilities
- Maintain accurate records of all incoming and outgoing stock.
- Receive, inspect, count, and verify medicines, medical consumables, surgical items, and general supplies.
- Ensure proper storage of materials according to hospital policies and manufacturer requirements.
- Issue stock to departments against authorized requisitions.
- Maintain minimum, maximum, and reorder stock levels.
- Monitor stock movement and identify slow-moving, non-moving, and excess inventory.
- Regularly check expiry dates, batch numbers, and damaged/expired items.
- Follow FEFO (First Expiry, First Out) and FIFO practices wherever applicable.
- Conduct regular physical stock verification and reconcile discrepancies.
- Maintain proper documentation for receipts, issues, returns, transfers, and adjustments.
- Update inventory records in ERP/software and maintain supporting documents.
- Coordinate with the Purchase Department for timely replenishment of stock.
- Coordinate with nursing, pharmacy, laboratory, OT, ICU, housekeeping, and other departments for material requirements.
- Prepare daily/weekly/monthly inventory reports as required.
- Identify stock shortages, discrepancies, wastage,
and pilferage and report them to the concerned authority.
- Ensure proper labeling, identification, and organized storage of inventory.
- Maintain cleanliness and safety standards in the hospital store.
- Support internal and external audits by providing stock records and documentation.
- Ensure compliance with hospital SOPs, inventory controls, and applicable healthcare regulations.
- Assist in disposal/segregation of expired, damaged, or obsolete materials as per hospital policy.
Required Qualifications
- Graduate in any discipline; B.Com / BBA / Supply Chain / Hospital Management preferred.
- 1–3 years of experience in hospital stores, inventory, pharmacy stores, or healthcare procurement preferred.
- Experience with inventory/ERP software is an advantage.
- Good knowledge of MS Excel and basic computer operations.

- Job Summary:
- Responsible for managing and maintaining accurate financial records, preparing financial reports, overseeing accounting operations, and ensuring compliance with applicable accounting standards and statutory requirements.
- Key Responsibilities:
- Maintain and review general ledger accounts and accounting records.
- Prepare monthly, quarterly, and annual financial statements.
- Handle accounts payable, accounts receivable, bank reconciliation, and journal entries.
- Prepare and monitor budgets, cash flow statements, and financial reports.
- Conduct regular reconciliation of bank, vendor, customer, and ledger accounts.
- Assist with month-end and year-end closing activities.
- Ensure timely filing and compliance with GST, TDS, and other statutory requirements.
- Coordinate with auditors and provide necessary financial documentation.
- Monitor expenses, identify discrepancies, and implement appropriate corrective actions.
- Support management with financial analysis and accounting-related decision-making.
- Supervise junior accounting staff and review their work for accuracy.
- Maintain proper documentation and ensure compliance with company accounting policies.
