Roles &Responsibilities;
- Manage end-to-end procurement of construction materials, equipment, services, and project requirements.
- Obtain and evaluate quotations from vendors, suppliers, contractors, and service providers.
- Compare quotations based on price, quality, specifications, delivery timelines, payment terms, and warranty.
- Negotiate prices, commercial terms, credit periods, delivery schedules, and other contractual conditions.
- Prepare Purchase Orders (POs), Work Orders, and other procurement documents.
- Ensure purchases are made within approved budgets and authorized limits.
- Coordinate with Project, QS, Planning, Accounts, Stores, and other departments for material requirements.
- Track purchase orders and ensure timely delivery to project sites.
- Monitor material shortages, delays, quality issues, and supplier performance.
- Develop and maintain a reliable vendor and contractor database.
- Identify new vendors and negotiate better commercial terms to achieve cost savings.
- Ensure proper documentation of quotations, approvals, POs, invoices, and delivery records.
B.
Contracts
Management
- Draft, review, negotiate, and administer contracts, work orders, and agreements with contractors, vendors, consultants, and service providers.
- Ensure contracts clearly define scope of work, specifications, rates, quantities, timelines, payment terms, warranties, penalties, and other conditions.
- Coordinate with Legal, Projects, QS, and Management for contract review and approvals.
- Maintain a complete database of all contracts, agreements, POs, and work orders.
- Monitor contractual obligations, milestones, deliverables, and expiry dates.
- Track variations,
additional works, deviations, claims, and rate revisions.
- Ensure proper approval and documentation of contract variations and amendments.
- Assist in resolving contractual disputes and commercial issues with vendors and contractors.
- Monitor contractor compliance with agreed terms and conditions.
C. Project & • Site Coordination
- Coordinate with project sites to understand upcoming material and service requirements.
- Review Material Requisitions / Indents and initiate procurement accordingly.
- Follow up with site teams regarding specifications, quantities, quality, and delivery requirements.
- Coordinate material deliveries with Stores and Site Engineers.
- Ensure critical materials are procured in advance to avoid project delays.
- Monitor procurement schedules against project timelines.
D. Cost & • Commercial Management
- Analyze market rates and conduct price benchmarking.
- Maintain comparative statements and obtain necessary approvals before finalizing suppliers.
- Identify opportunities for cost reduction and value engineering.
- Monitor procurement against project budgets.
- Support QS and Accounts teams in reconciliation of purchase orders, work orders, invoices, and payments.
- Ensure commercial terms are aligned with company policies and project requirements.
E. Vendor & • Contractor Management
- Evaluate vendors and contractors based on capability, experience, quality, financial stability, pricing, and delivery performance.
- Conduct periodic vendor performance reviews.
- Maintain approved vendor lists.
- Negotiate and resolve issues relating to delayed deliveries, defective materials, payment terms, and contractual obligations.
- Build long-term relationships with strategic suppliers and contractors.
F. Documentation & • Compliance
- Maintain proper records of quotations, comparative statements, approvals, POs, contracts, work orders, invoices, and supporting documents.
- Ensure procurement and contracts comply with company policies and approval procedures.
- Maintain proper audit trails for all procurement transactions.
- Ensure timely renewal of contracts, agreements, licenses, and service arrangements wherever applicable.
- Provide procurement and contract reports to Management as required.

4. Qualifications
- Bachelor's degree in Civil Engineering, Construction Management, Supply Chain Management, Procurement, Commerce, or a related field.
- Additional qualification in Contracts Management, Supply Chain, or Procurement will be an advantage.
5. Experience
- 5–8 years of relevant experience in Purchase, Procurement, Contracts, or Commercial functions.
- Experience in real estate, construction, infrastructure, or property development is preferred.
- Candidates should have hands-on experience in construction material procurement, contractor management, work orders, and contract administration.
