Job Summary
We are looking for a responsible, proactive, and hands-on Plant Administrator to take overall responsibility for the smooth day-to-day functioning of our manufacturing plant.
The Plant Administrator will act as the central coordination point for plant operations, overseeing staff and worker management, housekeeping, cleaning, maintenance coordination, quality systems, scrap management, safety, discipline, stores coordination, and general administration.
The ideal candidate should have basic technical understanding of a manufacturing environment combined with strong people-management, organizational, and problem-solving skills. The person should be capable of independently handling routine plant-related issues and ensuring that matters are resolved without unnecessary escalation to the management.
Key Responsibilities1. Plant Operations & Overall Coordination
- Oversee the overall day-to-day functioning of the plant.
- Coordinate with Production, Quality, Maintenance, Stores, Purchase, and other relevant departments.
- Ensure smooth workflow and timely completion of daily activities.
- Identify operational issues and coordinate timely corrective action.
- Act as the primary point of contact for routine plant-related matters.
1. Staff & Worker Management
- Plan and allocate manpower according to daily requirements.
- Monitor attendance, punctuality, shifts, overtime, leave, and workforce availability.
- Maintain discipline and professional conduct across the plant.
- Coordinate with supervisors regarding worker performance and manpower requirements.
- Address routine employee and worker grievances.
- Ensure proper communication of management instructions to staff and workers.
- Support recruitment, onboarding, training, and manpower planning when required.
1. Machine Maintenance & Facility Maintenance
- Ensure regular maintenance of plant machinery, equipment, electrical systems, utilities, and other facilities.
- Develop and maintain preventive maintenance schedules.
- Ensure timely servicing, inspection, lubrication, repairs, and breakdown follow-up.
- Coordinate with maintenance personnel, technicians, and external service providers.
- Maintain maintenance records and monitor pending maintenance issues.
- Escalate major breakdowns or technical problems promptly.
1. Quality Coordination
- Ensure adherence to established quality procedures and standards.
- Coordinate with the Quality team to identify and address recurring quality issues.
- Ensure proper implementation of SOPs and work instructions.
- Monitor general workplace practices that may affect product quality.
- Support corrective and preventive action implementation.
1. Housekeeping & Cleanliness
- Take overall responsibility for plant cleanliness and housekeeping.
- Supervise housekeeping staff and cleaning schedules.
- Ensure production areas, offices, toilets, stores, common areas, and surrounding premises are maintained properly.
- Ensure proper disposal of waste and cleaning of work areas.
- Implement and maintain basic 5S / workplace organization practices.
1. Scrap & Waste Management
- Monitor generation, segregation, storage, and disposal of scrap.
- Ensure scrap is properly identified and stored in designated areas.
- Maintain basic records of scrap generation and disposal.
- Coordinate with relevant departments for scrap movement and disposal.
- Prevent unnecessary accumulation, misuse, or loss of scrap/material.
1. Safety & Workplace Discipline
- Ensure employees follow basic safety practices and plant rules.
- Monitor use of PPE and secure working practices.
- Identify unsafe conditions and coordinate corrective action.
- Ensure emergency exits, fire equipment, and safety areas remain accessible.
- Promote a clean, disciplined, and safe working environment.
1. Stores, Materials & General Administration
- Coordinate with Stores and Purchase for availability of required materials, consumables, spare parts, and other plant requirements.
- Monitor shortages and follow up on pending requirements.
- Ensure proper handling and storage of materials.
- Coordinate with vendors, contractors, service providers, and facility staff.
- Oversee general administrative requirements of the plant.
1. Records & Reporting
- Maintain daily/weekly records relating to manpower, attendance, maintenance,
housekeeping, scrap, safety, and general plant issues.
- Prepare regular reports and MIS for management review.
- Maintain action lists and follow up on pending issues until closure.
- Highlight important operational problems and recommend practical solutions.
1. Continuous Improvement
- Identify opportunities to improve productivity, cleanliness, discipline, safety, maintenance, and cost efficiency.
- Encourage better workplace practices and process discipline.
- Follow up on implementation of management decisions.
- Develop a proactive culture where problems are identified and resolved before they become major issues.
Candidate Profile
- 5–10 years of experience in plant administration, factory operations, manufacturing administration, or a similar role.
- Experience managing a workforce of 50–200+ employees is preferred.
- Basic technical understanding of machinery, maintenance, and manufacturing processes.
- Strong leadership and people-management skills.
- Good communication and problem-solving ability.
- Strong organizational and follow-up skills.
- Comfortable working on the shop floor and handling practical day-to-day issues.
- Basic knowledge of MS Excel, Word, email, and MIS reporting.
- Experience with housekeeping, facility management, scrap handling, safety, and 5S will be an advantage.
- Diploma/Degree in Engineering, Operations, Management, or a related field preferred.
What We Expect From This Role The Plant Administrator will be expected to take ownership of the overall functioning of the plant, ensure that routine operational issues are resolved promptly, maintain discipline and cleanliness, and coordinate effectively between different teams. The objective of this role is to ensure that the management does not have to get involved in routine day-to-day plant matters and can instead focus on business growth, customers, and strategic decisions.
Pay: From ₹35,000.00 per month
