Role & responsibilities
We are looking for a detail-oriented and organized Logistics Assistant to support our UAE operations from our Chennai office. The role will primarily focus on logistics documentation, shipment coordination, data management, and communication with the UAE-based logistics and operations teams.
The successful candidate will ensure that all logistics and shipment-related documentation is prepared accurately and on time, while maintaining proper records and providing timely administrative support to the UAE operations.
Key Responsibilities
- Prepare, verify, and maintain logistics and shipment-related documentation for UAE operations.
- Coordinate with UAE-based logistics, warehouse, sales, and operations teams for documentation requirements.
- Prepare and maintain commercial invoices, packing lists, delivery documents, shipping documents, certificates, and other logistics paperwork.
- Coordinate with freight forwarders, shipping agents, transporters, suppliers, and customers as required.
- Track shipment documentation and ensure all required documents are available before shipment and delivery.
- Maintain proper digital and physical filing of logistics records and documents.
- Update shipment and logistics information in ERP/HRMS/Logistics systems or relevant databases.
- Follow up on shipment status, delivery documentation, and pending documents with relevant stakeholders.
- Assist in preparing logistics reports, shipment summaries, and document trackers.
- Ensure accuracy of customer, supplier, product, quantity, and shipment information in all documentation.
- Support the UAE team with document retrieval, data entry, reporting, and other logistics-related administrative activities.
- Coordinate with internal departments to resolve documentation discrepancies or missing information.
- Ensure documents are handled confidentially and maintained in accordance with company procedures.
- Provide general administrative and coordination support to the UAE logistics function.
Preferred candidate profile
- Positive knowledge of logistics and shipping documentation.
- Strong documentation and data-entry skills.
- Good knowledge of MS Excel, Word, Outlook, and other MS Office applications.
- ERP/Logistics software knowledge will be an advantage.
- Strong attention to detail and accuracy.
- Good follow-up and coordination skills.
- Ability to communicate effectively with teams in India and the UAE.
- Good written and spoken English.
- Ability to manage multiple tasks and meet deadlines.
- Strong organizational and record-management skills.
- Ability to work independently while coordinating with a remote UAE team.
Preferred Qualifications & Experience
- Bachelor's degree or Diploma in Logistics, Supply Chain, Business Administration, Commerce, or a related field.
- 1 to 3 years of experience in logistics documentation, shipping coordination, supply chain administration, or a similar role.
- Experience handling documentation for international shipments/import-export will be preferred.
- Experience supporting GCC/UAE operations will be an added advantage.
- Candidates with experience in the chemical distribution, trading, or industrial products sector will be preferred.
Important Note This position will be based in the Chennai office and will support the UAE region remotely. The role will involve regular coordination with UAE-based colleagues, customers, suppliers, freight forwarders, and logistics partners. The candidate should therefore be comfortable working according to UAE business requirements and timelines.
