The Executive Logistics (Export Shipping) is responsible for end-to-end coordination of export shipments from ex-factory to final delivery at the customer's port/warehouse. This role owns export documentation, customs clearance coordination, freight booking, and shipment tracking, ensuring that goods move out on time, in full compliance with export regulations, and with accurate, audit-ready paperwork at every step.
3. Key Responsibilities
- Coordinate export shipments end-to-end from ex-factory readiness through to on-board/on-truck confirmation and final delivery.
- Prepare and verify export documentation: commercial invoice, packing list, certificate of origin, e-way bill, shipping bill, and any client-specific documentation (e.g. compliance certificates, test reports).
- Liaise with Customs House Agents (CHAs) for customs clearance, and follow up on shipping bill filing, examination, and let-export order.
- Book and confirm freight (sea/air) with forwarders; negotiate freight rates and track container/vessel or flight schedules.
- Coordinate with production, quality, and packing teams to align dispatch readiness with ex-factory and ship dates committed to customers.
- Track shipments in transit and proactively flag delays, documentation issues, or customs holds to the Logistics Manager and relevant stakeholders.
- Maintain and update the shipment/dispatch tracker (PO-wise) with accurate ex-factory, ship, and delivery dates.
- Ensure compliance with DGFT, customs, and other applicable export regulations; maintain records for statutory audits and export incentive claims (e.g. RoDTEP, drawback).
- Coordinate container stuffing and supervise loading at the factory/warehouse where required.
- Support Letter of Credit (LC) documentation and bank negotiation processes for LC-based shipments, in coordination with the finance team.
- Maintain vendor relationships with freight forwarders, CHAs, and transporters; evaluate and onboard new vendors as needed.
- Prepare weekly/monthly MIS reports on shipment status, on-time delivery performance, and freight costs.
- Respond to customer and buying-agent queries on shipment status and documentation in a timely, qualified manner.
- Any other export/logistics-related responsibilities assigned by the Logistics Manager or Director of Operations.
4. Required Qualifications & Experience
- Graduate in any discipline; a diploma/certification in Export-Import Management, Logistics, or Supply Chain is preferred.
- 2–5 years of experience in export logistics, preferably in a manufacturing/export house handling international shipments (furniture, home dcor, or similar categories preferred).
- Working knowledge of export documentation, customs procedures, INCOTERMS, and DGFT compliance requirements.
- Experience coordinating with freight forwarders, CHAs, and shipping lines.
- Proficiency in MS Excel and familiarity with ERP/logistics tracking systems.
5. Skills Required
- Strong attention to detail, particularly for export documentation accuracy.
- Good communication skills — able to coordinate across production, finance, customs agents, and international customers.
- Ability to work under deadline pressure during peak shipment periods.
- Problem-solving mindset — able to proactively resolve delays and documentation issues.
- Organised and process-driven, comfortable maintaining detailed trackers and MIS reports.
