Job Summary / Overview The Candidate Journey Specialist plays a crucial role in ensuring a seamless and engaging recruitment process for all candidates. From the initial application to the final offer, they will be responsible for nurturing the candidate journey, providing support, and ensuring that all steps are completed efficiently. This role requires close collaboration with various recruitment team members to meet hiring goals and enhance the overall candidate experience.
Key Responsibilities and Accountabilities (may perform other duties as requested not specifically addressed in this document)
Candidate Support & Guidance
- Assist candidates throughout the application process, ensuring all required steps are completed smoothly;
- Provide timely support to candidates during assessment stages, ensuring they have the necessary information and resources, access to the online assessment tool, and appointments are booked as needed for additional stages;
- Support the candidate with any questions they may have about the role or the process, and supply answers in a timely manner;
- Communicate regularly with candidates to keep them updated on their application status and next steps.
Information & Documentation
- Ensure candidates provide all necessary information and documents required for the recruitment process, particularly for background vetting stages;
- Complete candidate right to work verification and imposter checks via video call;
- Manage the collection and safe storage of all candidate documents, and supply as needed to the Recruitment compliance team, ensuring compliance with regulations, client requirements and company policies;
- Work with candidates to complete their pre-onboarding tasks.
Communication & Engagement
- Maintain consistent and explicit communication with candidates to keep them engaged and informed;
- Inform candidates of the outcomes of their assessments and subsequent stages in a timely manner;
- Manage the candidate offer process, ensuring a positive experience for successful candidates and a dignified closure for those not successful;
- Gather and analyze candidate feedback and sentiments to identify trends and areas for improvement;
- Share insights from candidate interactions with recruitment leadership to enhance overall recruitment delivery.
Collaboration & Stakeholder Management
- Work closely with Recruitment sourcing, business partnering, and compliance teams to ensure a coordinated and efficient recruitment effort;
- Collaborate closely with other recruitment team members to meet requisition timelines and hiring goals;
- Identify opportunities to improve the candidate experience through self-service and automation options;
- Implement enhancements to streamline the recruitment process and improve candidate experiences.
Other Duties
- Responsible for own health,
safety and welfare as well as being mindful of the wider team and surrounding colleagues;
- Attends any H&S; and other training as directed by your line manager or the wider business. Upholds and applies the relevant policies and procedures to provide a safe working environment. In addition, challenges/reports unsafe practices and supports the team and overall business to deliver health & safety needs in the workplace;
- Other duties as assigned.
Main Job Requirements
Education and Specific Training
- High School level education in English at Grade C level or above
- English language proficiency both verbal and written – at level C1
Required Skills & Experience:
- Proven experience in recruitment, HR, or a related field, minimum of 1 year
- Proficiency in using Applicant Tracking Systems (e.g., iCIMS, Workday, Taleo, etc) and other recruitment tools
- Comfortable and proficient in using various means of remote communication – including video, telephone, chat, email, and others
- Excellent communication and interpersonal skills
- Strong organizational and time management abilities
- Ability to work collaboratively in a fast-paced environment
- Attention to detail and a focus on delivering a positive candidate experience
- Ability to manage own workload and ensure compliance with deadlines
Preferred Skills & Experience:
- Experience of working with the UK labour market
- Knowledge/experience of UK regulatory requirements for recruitment – including UK right to work eligibility rules and documentary evidence needs, and Northern Ireland’s FEC reporting requirements
