Role & responsibilities
The Manager-HR Operations, Payroll & Compliance will control daily attendance, rosters, payroll inputs, HRMS, employee documentation, statutory compliance and outsourced-manpower records across all units.
Key Responsibilities
Attendance and Roster Control
- Reconcile biometric attendance with duty rosters, leave, weekly offs and overtime.
- Review missing punches, late attendance, unauthorized absence and shift deviations.
- Obtain HoD certification for attendance, overtime and duty changes.
- Escalate uncovered critical duties immediately.
- Maintain unit-wise daily manpower-availability reports.
Payroll Administration
- Prepare monthly payroll inputs accurately and within the approved cut-off.
- Validate salary revisions, incentives, overtime, deductions, arrears and recoveries.
- Maintain employee bank, tax and statutory-registration records.
- Coordinate payroll reconciliation with Finance.
- Process separation documentation and full-and-final settlement inputs.
- Maintain a complete audit trail for every payroll change.
HRMS and Employee Files
- Maintain accurate employee master data in HRMS.
- Control employee codes, designations, departments, reporting lines and transfers.
- Maintain indexed physical and digital employee files.
- Track missing and expiring documents.
- Maintain appointment, confirmation, increment, transfer and separation letters.
- Control access to confidential HR, payroll and employee-health information.
Statutory and Contractor Compliance
- Maintain the HR statutory-compliance calendar.
- Coordinate applicable PF, ESI and other employment-related registrations and submissions.
- Verify contractor licences, deployment records, wage sheets and worker documentation.
- Maintain records for direct and outsourced employees separately.
- Coordinate employee medical fitness, occupational-health and vaccination records.
Prepare documentation for HR audits, inspections and NABH assessments.
Preferred candidate profile
- MBA/PGDM HR, M.Com, B.Com or equivalent qualification.
- Minimum 10 years of HR operations, payroll and compliance experience in a 300+ bedded hospital.
- Experience managing biometric attendance, HRMS and payroll for a large hospital workforce is required.
- Working knowledge of biometric attendance, HRMS, payroll, Excel, PF, ESI and contractor documentation.
- Robust numerical accuracy, integrity, confidentiality and audit orientation.
Must be capable of independently handling large employee datasets.
