Designation: Hospital Receptionist
Reporting To: Manager - Operations

1. Job Purpose

To provide a professional, courteous, and welcoming first point of contact for patients, attendants, visitors, and hospital stakeholders. The Hospital Receptionist is responsible for managing front-desk operations, assisting patients with enquiries, coordinating with relevant departments, and ensuring a smooth and positive patient experience.

2. Key Responsibilities

- Welcome and greet patients, attendants, visitors, and doctors in a qualified and courteous manner.
- Maintain a well-groomed, professional appearance and follow hospital grooming and uniform standards at all times.
- Communicate clearly and politely with patients and visitors.
- Attend incoming telephone calls and direct calls to the appropriate department or staff member.
- Provide accurate information regarding hospital services, departments, consultation timings, and general enquiries.
- Assist patients with registration, appointment scheduling, and billing-related directions.
- Guide patients and attendants to the appropriate departments, consultation rooms, diagnostic areas, pharmacy, billing counters, etc.
- Coordinate with OPD, Nursing, Billing, Insurance, Laboratory, Radiology, and other departments as required.
- Handle patient and visitor enquiries professionally and escalate complaints or concerns to the concerned authority.
- Maintain proper records, registers, visitor details, appointment information, and other front-office documentation.
- Assist elderly patients, persons requiring special assistance, and patients who need guidance within the hospital.




- Ensure the reception/front-office area remains clean, organized, and presentable.
- Maintain confidentiality of patient and hospital information.
- Follow hospital policies, SOPs, safety procedures, and service standards.
- Support emergency situations by promptly informing the appropriate department/personnel.
- Maintain professional conduct and avoid unnecessary personal conversations or gatherings at the reception area.
- Perform any other duties assigned by the Front Office In-charge / Administration.

3. Required Skills & Competencies

- Excellent communication skills – verbal and written.
- Good interpersonal and customer-service skills.
- Pleasant, polite, and professional attitude.
- Good grooming and professional presentation.
- Ability to communicate effectively with patients, attendants, doctors, and hospital staff.
- Basic computer knowledge and familiarity with MS Office / hospital software.
- Ability to handle multiple tasks and work under pressure.
- Good telephone etiquette.
- Strong listening and problem-solving skills.
- Patience and empathy when dealing with patients and attendants.
- Ability to maintain confidentiality and professional boundaries.
- Good teamwork and coordination skills.
- Ability to work in shifts, including weekends and holidays as per hospital requirements.





4. Educational Qualification

- Minimum Graduate preferred.
- Diploma / Certificate in Hospital Administration, Front Office Management, or a related field will be an added advantage.

5. Experience

- 1–3 years of experience in hospital reception, front office, customer service, healthcare, hotel, or a similar service-oriented environment.
- Freshers with excellent communication skills and a professional attitude may also be considered.

6. Professional Standards

The Receptionist is expected to:

- Report to duty on time and maintain punctuality.
- Maintain proper uniform, personal hygiene, and grooming standards.
- Wear the prescribed ID card at all times while on duty.
- Maintain a calm, respectful, and patient-friendly approach.
- Avoid arguments or inappropriate communication with patients, attendants, or colleagues.
- Maintain discipline and professional behavior at the reception area.
- Ensure patient information and hospital matters are kept strictly confidential.

- Patient and visitor satisfaction.
- Professional appearance and grooming.
- Communication and telephone etiquette.
- Accuracy of registration and front-office documentation.
- Timely response to patient enquiries.
- Coordination with departments.
- Attendance and punctuality.
- Compliance with hospital policies and SOPs.
- Maintenance of a clean and organized reception area.
- Complaint handling and escalation.
