POSITION OVERVIEW

The FCC – Family Club Coordinator will be responsible for managing patient communication, relationship building, follow-ups, and engagement activities for Progenesis Family Club members and referral patients.

This is primarily a Customer Service and Patient Relationship Management role that requires excellent communication, active listening, empathy, and strong coordination skills.

The candidate will act as an important point of contact for patients and Family Club members, ensuring timely communication, regular engagement, and a positive experience with Progenesis IVF.

KEY RESPONSIBILITIES01 | Patient Communication & Customer Service

- Handle regular calls with referral patients and Family Club members.
- Understand patient requirements and provide appropriate assistance or coordinate with the concerned team.
- Maintain a polite, empathetic, and professional approach during patient interactions.
- Build strong rapport and maintain positive relationships with patients.
- Handle patient queries and ensure timely follow-up or escalation wherever required.

02 | Referral Patient Engagement





- Conduct daily calling and follow-ups with referral patients for satellite centres.
- Engage with referral patients and encourage them to visit the appropriate Progenesis IVF centre.
- Follow up with patients regarding their interest, requirements, appointments, and centre visits.
- Maintain proper records of patient interactions and follow-up status.
- Coordinate with respective centres for further patient assistance.

03 | Family Club Member Engagement

- Conduct daily wishes calls for Family Club members through the FCC Dashboard.
- Maintain regular communication and engagement with Family Club members.
- Coordinate and ensure timely dispatch of gifts to Family Club members.
- Ensure a positive and personalized experience for Family Club members.
- Maintain accurate records of Family Club activities and member interactions.

04 | Follow-up & Relationship Management

- Conduct scheduled calls for EDD, References, Top Referral Patients, and other assigned categories.
- Make regular follow-up calls to Top Referral Patients.
- Maintain strong relationships with referral sources and patients through consistent communication.
- Ensure timely completion of scheduled calls and follow-ups.
- Identify important patient requirements and communicate them to the concerned team.

05 | Coordination & Reporting

- Coordinate with Progenesis IVF centres and internal departments for patient-related requirements.
- Update the FCC Dashboard/software with call details, follow-ups, and patient responses.
- Maintain daily calling and follow-up records.
- Prepare and share required MIS/reports with the reporting manager.
- Ensure accuracy and timely completion of assigned activities.
- Perform any other Family Club-related responsibilities assigned by the HOD.
