Job Title: Purchase In-Charge
Department: Procurement
Reports To: Director / Senior Architect
Location: Near Sultanpur Metro Station
Job Overview:
The Purchase In-Charge is responsible for managing all procurement activities related to design materials, architectural supplies, site consumables, and vendor coordination. The role ensures timely availability of quality materials, cost control, and compliance with the firm’s design and project requirements.
Key Responsibilities:
1. Procurement & Vendor Management
- Identify, evaluate, and negotiate with vendors and suppliers for furniture, lighting, construction materials, and design accessories.
- Maintain vendor database and develop long-term relationships with reliable suppliers.
- Obtain competitive quotations, compare specifications, and prepare cost analyses.
- Conduct periodic vendor evaluations based on quality, timeliness, and service standards.
2. Purchase Planning & Coordination
- Coordinate with architects, designers, and project managers to forecast material requirements for ongoing and upcoming projects.
- Raise Purchase Orders (POs) and ensure all approvals as per the procurement policy.
- Track order status and ensure on-time delivery at sites or design studios.
- Maintain records of purchase requisitions, supplier communications, and delivery schedules.
3. Inventory & Cost Control
- Monitor stock levels of consumables, stationery, and samples in the design office.
- Maintain an updated inventory register and prevent overstocking or shortages.
- Work with the accounts team to verify vendor bills and ensure budget compliance.
- Identify opportunities for cost savings without compromising design quality.
4. Quality & Compliance
- Ensure all materials and products meet the required design specifications and quality standards.
- Coordinate with project/site teams for inspection and approval upon delivery.
- Ensure compliance with firm’s procurement policies, documentation, and vendor contracts.
5. Reporting & Documentation
- Maintain purchase MIS (Material Information System) for monthly reporting.
- Submit cost variance and purchase summary reports to management.
- Prepare comparative statements, vendor evaluation sheets, and approval notes.
Key Skills & Competencies
- Robust negotiation and vendor-relation skills.
- Good knowledge of materials used in architecture/interior projects (furniture, fixtures, paints, hardware, etc.).
- Analytical skills for quotation comparison and budgeting.
- Working knowledge of MS Excel, Tally/ERP, and documentation formats.
- Coordination and communication skills with design, site, and finance teams.
Educational Qualification
- Graduate in Commerce / Business Administration.
- Preferred: Diploma or Degree in Supply Chain / Procurement / Material Management.
- Background in architecture/interior industry preferred.
Experience
- Minimum 3–5 years in purchase/procurement, ideally in architectural / interior design / construction firms.
Pay: ₹35,000.00 - ₹50,000.00 per month
