HIRING: IMPORT OPERATIONS EXECUTIVE – CHINA IMPORTS

Location: Mumbai
Employment Type: Full-Time
Experience: 3–6 years

We are looking for an experienced Import Operations Executive to manage the day-to-day execution and coordination of imports from China to India.

The primary responsibility will be to ensure that every shipment is properly coordinated from purchase order to arrival, customs clearance and delivery, with all documentation and logistics handled accurately and on time.

Experience in steel, scaffolding, construction materials, hardware or similar products will be strongly preferred.

Key ResponsibilitiesImport Operations – Primary Responsibility

- Manage the complete import process from China to India.
- Coordinate with Chinese suppliers from order confirmation until shipment.
- Follow up on production, packing and shipment readiness.
- Coordinate with freight forwarders, shipping lines, CHA/customs brokers, transporters and clearing agents.
- Arrange and verify all required import documentation, including:
- Commercial Invoice
- Packing List
- Bill of Lading
- Certificate of Origin
- Insurance documents
- Inspection/quality documents, where applicable
- Other documents required for customs clearance
- Check shipping documents carefully for quantity, description, HS codes, values, weights, consignee details and other discrepancies before shipment.
- Coordinate shipment bookings and monitor vessel schedules.
- Track shipments from China until arrival at the Indian port and final delivery.
- Coordinate with the CHA for customs clearance, duty assessment and documentation.
- Follow up on customs queries, documentation discrepancies and clearance delays.
- Coordinate transportation from port to warehouse/customer location.
- Maintain a proper shipment-wise import file with all documents and correspondence.




- Track freight, customs duty, port charges, clearing charges and other import-related costs.
- Maintain an updated Import Shipment Tracker showing order status, production status, ETD, ETA, port, clearance status and delivery status.
- Coordinate closely with the accounts team for supplier payments, import documentation and shipment-wise cost accounting.
- Ensure timely submission and collection of documents required by banks, customs, freight forwarders and other parties.

China Supplier Coordination

- Communicate regularly with Chinese suppliers regarding orders, production and shipment schedules.
- Follow up on pending documents and shipment instructions.
- Coordinate with suppliers regarding packing, marking, container loading and dispatch.
- Ensure suppliers provide documents in the required format before shipment.
- Identify and escalate any potential shipment or documentation issues before the cargo is dispatched.

Sourcing – Additional Responsibility

Sourcing experience will be an added advantage.

The candidate may also be required to:

- Identify and communicate with potential suppliers in China.
- Obtain quotations and compare supplier pricing.
- Negotiate basic commercial terms.
- Compare product specifications, quality and pricing.
- Assist in developing reliable Chinese supplier relationships.
- Conduct basic supplier due diligence.
- Source steel, scaffolding systems, construction materials, hardware and related products.




- Assist management in identifying alternative suppliers and improving landed costs.

Candidate Profile

The ideal candidate should have:

- 3–6 years of experience in import operations, preferably involving China.
- Strong hands-on experience with Indian import documentation and logistics.
- Experience coordinating with CHA, freight forwarders, shipping lines and transporters.
- Positive understanding of the import clearance process.
- Experience handling containerised imports.
- Strong documentation and follow-up skills.
- Good Excel skills and ability to maintain shipment trackers.
- Ability to coordinate simultaneously with suppliers, logistics companies, CHA and internal teams.
- Good communication skills and attention to detail.
- Experience with steel, scaffolding, construction materials, hardware or related products will be preferred.
- Chinese supplier sourcing/procurement experience will be an additional advantage.

Important

This is primarily an Import Operations role, not a desk-based procurement position.

The candidate must be capable of independently following a shipment from:

Purchase Order → Supplier Follow-up → Production → Documentation → Freight Booking → Shipment → Port Arrival → Customs Clearance → Delivery

The ability to personally follow up and close each stage of the shipment is critical.

Compensation

₹25,000 – ₹30,000 per month, depending on experience and expertise.

Salary is negotiable for candidates with strong China import experience and relevant product knowledge.
