Job Purpose
The Hostel Warden is responsible for the overall day-to-day management, discipline, safety, cleanliness, student welfare, security, and basic operational administration of the hostel. The Warden ensures that students follow hostel rules, hostel facilities are maintained properly, and all student-related issues are promptly communicated to the Administrative Manager.
Key Responsibilities
1. Student Management & Discipline
- Maintain a safe, peaceful, disciplined, and respectful hostel environment.
- Monitor student attendance and availability through morning and night checks.
- Identify and immediately report unauthorized absences or missing students.
- Monitor students' compliance with hostel rules and timings.
- Monitor students engaged in part-time work and verify their work timings and return times.
- Prevent fights, conflicts, misconduct, and other disciplinary issues.
- Address student concerns and escalate serious matters to the Administrative Manager.
2. Hostel Security & Visitor Management
- Maintain the hostel Visitors Register.
- Record visitor name, student name, contact number, entry time, and exit time.
- Verify visitor identity before allowing entry.
- Ensure visitors comply with approved hostel visiting hours.
- Restrict entry of unauthorized persons.
- Conduct regular security checks during morning, evening, and night inspections.
3. Daily Hostel Inspection
Conduct regular inspections to ensure proper student presence, discipline, hygiene, and safety.
Morning Inspection
- Check room cleanliness.
- Check kitchen condition.
- Verify student presence.
Evening Inspection
- Monitor student return times.
- Check visitor entries.
Night Inspection
- Verify that students are inside the hostel.
- Record attendance.
4. Cleanliness & Hygiene Management
- Inspect hostel rooms daily.
- Check bed arrangements, floor cleanliness, and waste disposal.
- Inspect kitchen cleanliness, including cooking areas, utensils, and storage.
- Monitor cleanliness of surrounding areas.
- Ensure proper sanitation and clear drainage.
- Coordinate with cleaning staff whenever additional cleaning is required.
- Ensure proper daily waste disposal.
- Monitor water chlorination and safe water practices.
- Ensure regular water-filter cleaning and replacement of cartridges when required.
5. Hostel Facilities & Maintenance
- Regularly monitor electrical systems, water supply, plumbing, furniture, doors, and locks.
- Identify maintenance problems and report them promptly.
- Coordinate and arrange repairs as required.
- Monitor gas-cylinder levels and arrange refilling in advance.
- Maintain records of gas-cylinder refills and relevant maintenance activities.
6. Student Induction & Room Allocation
- Welcome new students and introduce them to hostel facilities.
- Explain hostel rules, discipline requirements, and procedures.
- Show students rooms, kitchen, bathrooms, and other relevant facilities.
- Allocate rooms and beds.
- Help new students adapt to hostel life.
7. Student Meetings & Communication
- Conduct student meetings weekly or whenever required.
- Communicate hostel rules and expectations.
- Discuss cleanliness, discipline, safety, and other hostel matters.
- Provide students with an opportunity to raise concerns.
- Record important meeting details.
- Maintain regular communication with the Administrative Manager regarding hostel issues, student complaints, maintenance requirements, and attendance.
8. Documentation & Reporting
Maintain accurate and updated hostel records, including:
- Visitors Register
- Daily Hostel Attendance Register
- Student/part-time work records
- Hostel bill/payment records
- Maintenance records
- Cleaning records
- Gas-refill records
- Student complaints and meeting records
The Warden must submit a daily report to the Administrative Manager covering:
- Student attendance
- Cleaning status
- Maintenance issues
- Bill payments
- Student complaints
9. Administrative Coordination
- Communicate daily with the Administrative Manager.
- Report significant student, safety, maintenance, cleanliness, or disciplinary issues immediately.
- Provide updates through WhatsApp, daily reports, or direct meetings.
- Ensure that instructions from the Administrative Manager relating to hostel operations are properly implemented.

Accountability
The Hostel Warden is directly accountable for the proper day-to-day functioning of the hostel and must ensure that student safety, discipline, cleanliness, security, attendance, facilities, and reporting requirements are consistently maintained.
Pay: ₹20,000.00 - ₹25,000.00 per month
