Kiotel is hiring a Chief of Staff to work closely with the our CEO on cross-functional alignment, business reporting, and project execution.
You’ll translate leadership priorities into plans, coordinate work across teams, and give leadership a clear view of progress, risks, and decisions needed. You’ll connect day-to-day execution to business priorities and make sure important initiatives have accountable owners and consistent follow-through.
This is a hands-on operating role. You should be comfortable asking difficult questions, challenging unclear updates, resolving coordination gaps, and bringing structure to work that is still taking shape.
Prior experience working directly with a US-based executive team is required. The role is based in India and requires consistent overlap with US working hours.
Roles and Responsibilities
Cross-Functional Alignment
- Translate leadership priorities into shared objectives, deliverables, and timelines across teams.
- Ensure team leads understand what needs to happen, why it matters, and how their work depends on other teams.
- Identify conflicting priorities, duplicated efforts, and gaps in ownership.
- Work with functional leads to resolve dependencies and coordination issues.
- Surface tradeoffs to the CXO team with clear context and recommended next steps.
- Communicate leadership decisions and track whether teams act on them.
Project and Program Management
- Lead planning and execution for assigned cross-functional initiatives.
- Define project scope, milestones, owners, dependencies, and success measures.
- Maintain a reliable view of project status and follow up on commitments.
- Identify delivery risks early and work with owners on recovery plans.
- Manage changes to scope and timelines, making their implications clear.
- Drive projects through completion, confirm outcomes, and capture lessons for future work.
Business Reporting and Performance Visibility
- Establish a consistent reporting rhythm that gives leadership practical visibility into the business.
- Work with functional leads to define relevant metrics, targets, and reporting owners.
- Consolidate team updates into concise leadership reports covering performance, milestones, risks, and decisions needed.
- Check reporting for accuracy, consistency, and missing context.
- Investigate missed targets and significant changes with the responsible teams.
- Improve dashboards and reporting processes so leadership can act on the information.
Leadership Planning and Follow-Through
- Help the CXO team translate business goals into quarterly priorities and execution plans.
- Maintain a shared view of leadership priorities and resolve conflicting direction before it creates confusion for teams.
- Prepare and facilitate leadership reviews with focused agendas and relevant information.
- Document decisions, assign follow-up actions, and track completion.
- Bring unresolved issues to leadership with options and a recommendation.
- Keep attention on important longer-term initiatives alongside urgent operating needs.
Process Improvement and Special Initiatives
- Identify recurring bottlenecks that slow execution or create unnecessary work.
- Build practical processes for project intake, prioritization, handoffs, and approvals.
- Establish clear documentation and a dependable source of current project information.
- Own special initiatives that require coordination across functions or do not have an obvious functional owner.
- Research business questions and prepare concise recommendations.
- Use appropriate tools and automation to improve reporting and coordination.
Ownership and Working Relationships
This role owns the coordination, visibility, and follow-through needed to move cross-functional work forward. Functional leaders remain accountable for delivery within their teams.
The Chief of Staff is expected to hold owners accountable to agreed commitments, question unclear status updates, and escalate unresolved issues. Changes to business priorities, budgets, or major commitments require alignment with the relevant leaders.
Required Qualifications
- At least 5 years of relevant experience in business operations, program management, strategy and operations, or a chief of staff role.
- Demonstrated experience working directly with a US-based executive team and coordinating across time zones.
- A track record of leading cross-functional projects from planning through completion.
- Experience building management reports, tracking business metrics, and turning data into useful observations and actions.
- Ability to influence colleagues and drive accountability without relying on direct reporting authority.
- Strong project management skills, including managing dependencies, risks, scope, and deadlines.
- Excellent written and spoken English, with the ability to communicate concisely with senior leaders.
- Strong analytical skills and confidence working with spreadsheets, dashboards, and project management tools.
- Sound judgment, discretion, and the ability to work independently through ambiguity.
- Availability for consistent, agreed overlap with the US executive team.
Preferred Qualifications
- Experience working in a startup, founder-led company, or growing business.
- Experience supporting two or more senior leaders with shared and competing priorities.
- Experience establishing quarterly planning and business review processes.
- Familiarity with business intelligence tools and reporting automation.
- Evidence of improving how teams coordinate and deliver work.
What Success Looks Like
First 30 days
- Understand Kiotel’s priorities, team responsibilities, active initiatives, and existing reporting.
- Build working relationships with functional leads.
- Establish a shared view of critical projects, owners, deadlines, and dependencies.
- Agree with the CXO team on reporting expectations and escalation practices.
First 60 days
- Run a consistent cross-functional review and leadership reporting process.
- Provide clear, reliable updates on progress, performance, and decisions needed.
- Resolve key coordination gaps and make delivery risks visible early.
- Take ownership of an agreed priority initiative.
First 90 days
- Demonstrate measurable progress on assigned initiatives.
- Improve the reliability of project commitments and follow-through.
- Reduce the time leadership spends chasing updates and resolving routine coordination issues.
- Give leadership a dependable view of where execution is on track and where intervention is needed.
Pay: Up to ₹800,000.00 per year
