Position Overview
The Project Coordinator is the single execution-side point of accountability for the company's projects, reporting to the Vice President – Engineering. He is the person who, at any moment, can answer for any project: what the current status is, what is stuck, and what needs a decision. His job is not to record status after the fact but to stay ahead of each project — anticipating what it will need next and setting those things in motion before execution is held up.
The role connects the site project teams, project managers, project accountants, the procurement department, billing engineers, and the document controller, and manages all correspondence with clients and PMCs. He does not hold direct line authority over site teams; he drives accountability through the work program, structured follow-up, and direct escalation to the VP – Engineering. To discharge this responsibility, he is authorised to convene project managers, call for information from any project, and escalate unresolved matters directly to senior management.
Roles & Responsibilities
Work program & planning
• Under the supervision of the VP – Engineering, prepare the work program for each project after coordinating with its project manager, and keep it current as the project progresses.
• Read ahead on the work program to identify what each project will need next — materials, work orders, subcontractor mobilization, drawings, approvals — and set those in motion early enough that execution never waits on them.
Driving execution & removing bottlenecks
• Ensure work orders and purchase requisitions are raised and issued in time, ahead of when the site needs them, so procurement and mobilization stay ahead of the work front.
• Ensure timely mobilization of resources, subcontractors, and vendors against each project's work program, and check that the manpower and machinery deployed match what the plan requires.
• Coordinate design and drawing approvals, including any third-party vetting, so that pending drawings never hold up work at site.
• Act as the standing point of coordination between project managers, project accountants, and the procurement team — keeping materials, manpower, and inputs aligned to what each project needs.
Progress monitoring & issue escalation
• Maintain a separate tracker for each project; monitor actual progress against the work program and flag delays early. Each project is monitored on its own, not rolled up into a single sheet.
• Track each project's key milestones and deliverables, and push the project manager to correct course wherever a site falls behind.
• Actively surface the issues that need management or client attention — decisions pending, approvals stuck, hindrances, resource shortfalls, client defaults — and drive them to resolution rather than merely logging them.
Client correspondence & contract administration
• Own all correspondence with clients and PMCs — letters, submissions, replies, and formal notices — working with the document controller on dispatch and record-keeping.
• Issue and log hindrance notifications, and build the supporting record for time-extension (EOT) claims so the company's contractual position is protected.
• Track client instructions and decisions, and maintain a register of all variations / change orders per project with their approval status.
Billing coordination
• Track RA bill preparation and submission for each project, and follow up with the client on certification and payment so progress on site converts into money received.
• Coordinate subcontractor billing and payment — the billing engineer prepares the bill and the accounts officer passes it for payment — so that payment delays never stall a subcontractor's work on site.
• Track the status of statutory permissions and NOCs (road-cutting, tree-cutting,
railway / utility crossings, environmental clearances) project by project, since these are the most common cause of site delays and the basis for most time-extension claims.
Reporting & review meetings
• Prepare a separate progress report for each project — weekly / monthly — for top management, covering progress, key issues, pending decisions, risks, and billing status, so management always has a clean, current read on every project.
• Organize and run the project review meetings chaired by top management; circulate minutes and chase every action item to closure.
Required Qualifications & Experience
• B.E. / B.Tech in Civil Engineering (essential).
• MBA / PGDM in Construction or Project Management is an advantage.
• 8-10 years in EPC / infrastructure project coordination, preferably in water and wastewater work (sewerage networks, sewage treatment plants, pumping stations).
• Hands-on exposure to government-funded programmes such as AMRUT 2.0, Namami Gange, Jal Jeevan Mission, and Smart Cities.
• Working knowledge of government (CPWD / state PWD) and standard EPC contract conditions, RA billing, measurement and reconciliation, BOQ structures, and the mechanics of time-extension, liquidated-damages, and variation claims.
• Proficiency in project-scheduling software (MS Project), advanced Excel, and ERP / procurement systems.

• Ownership and drive — takes personal accountability for keeping every project moving, and pushes matters to closure instead of waiting to be asked.
• Anticipation — reads ahead on the work program and heads off shortfalls in material, manpower, drawings, or approvals before they stall the site.
• Stakeholder management — holds project managers, vendors, and clients accountable through structure and influence rather than direct authority.
• Clear written communication — drafts correspondence, hindrance and time-extension letters, and meeting minutes that are accurate and to the point.
• Commercial and contractual awareness — understands how progress, billing, hindrances, and claims connect, and protects the company's position on each.
• Organisation and follow-through — runs many projects in parallel without letting any one slip, and closes out every open action.
Bias to escalate early — surfaces problems and pending decisions to senior management while there is still time to act on
