We are seeking a highly organized and responsive Workforce Scheduling & Placement Coordinator to support the coordination of employee assignments, scheduling, first-time placements, interview scheduling, assignment readiness, and related workforce administration.

This role serves as an significant point of coordination between our operations team and our workforce. The Coordinator will regularly communicate with current employees, previous employees, and individuals already registered with us to confirm availability, communicate assignment opportunities and schedules, coordinate placement requirements, and help ensure employees are prepared for their assigned client sites.

The ideal candidate is organized, dependable, comfortable handling a high volume of communication, and able to manage multiple scheduling priorities while maintaining accurate records and timely follow-up.

Key Responsibilities

- Coordinate employee scheduling and assignments based on operational and client requirements.
- Contact current employees, previous employees, and individuals registered with us to confirm availability for assignments.
- Communicate assignment details, schedules, reporting times, locations, site instructions, and other relevant information to employees.
- Coordinate first-time placements and help ensure employees receive the information and instructions required before beginning an assignment.
- Schedule interviews and other meetings as requested by the Operations team.
- Maintain regular follow-up with employees regarding availability, assignment confirmations, schedule changes, cancellations, and upcoming work opportunities.
- Coordinate completion and collection of required employment and assignment-related documentation by following up with employees and the appropriate internal teams.
- Monitor the status of items such as employment documentation, site-specific requirements, certifications, timesheets, client-required documentation, and other assignment requirements.
- Identify missing or outstanding requirements and follow up with the appropriate person or department to help ensure employees are ready for assignment.




- Coordinate site-specific requirements and communicate relevant instructions to assigned employees.
- Maintain accurate and up-to-date employee availability, scheduling, placement, and assignment information.
- Assist with last-minute schedule changes, employee availability issues, replacements, cancellations, and other scheduling-related matters.
- Follow up with employees regarding attendance, assignment commencement, and other operational matters when required.
- Coordinate timesheet-related follow-ups and help ensure required information is submitted within established timelines.
- Maintain clear records of employee communications, confirmations, schedules, and outstanding actions.
- Provide limited coordination and communication with client representatives when required for scheduling or assignment-related matters.
- Escalate scheduling conflicts, employee concerns, documentation issues, attendance matters, or other operational concerns to the Operations Manager when appropriate.
- Support the Operations Manager with workforce coordination, scheduling reports, administrative follow-up, and other operational activities as required.
- Perform other related scheduling, placement, and workforce coordination duties based on business needs.

Qualifications

- 1–3 years of experience in workforce scheduling, staffing operations, administrative coordination, employee coordination, customer service, or a similar role is preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills in English.
- Comfortable communicating regularly with employees by phone, email, and other communication channels.
- Strong attention to detail and ability to maintain accurate records.
- Ability to manage multiple assignments, schedules, follow-ups, and priorities simultaneously.




- Ability to work independently in a remote environment while maintaining consistent communication with the Operations Manager and other team members.
- Solid problem-solving skills and the ability to respond calmly and professionally to scheduling changes and time-sensitive situations.
- Good working knowledge of Microsoft Office and/or Google Workspace.
- Comfortable using email, telephone systems, spreadsheets, shared documents, and other business communication tools.
- Previous experience in staffing, workforce management, healthcare staffing, security staffing, temporary staffing, or another scheduling-intensive environment would be an asset.

Working Conditions

- This is a full-time remote position based in India.
- The successful candidate must be available to work hours aligned with Canadian Eastern Time (ET).
- Working hours in India may change when Eastern Canada transitions between Eastern Standard Time (EST) and Eastern Daylight Time (EDT).
- The position involves regular communication by phone and email and requires reliable internet connectivity and an appropriate remote-work environment.

Success in This Role

Success in this position will be measured by the Coordinator's ability to maintain accurate schedules, obtain timely employee confirmations, support smooth employee placements, follow up on outstanding assignment requirements, communicate changes promptly, and help ensure employees are prepared and informed before reporting to client sites.

Pay: From ₹28,000.00 per month
