Payroll Specialist

Role Overview
We are seeking a detail-oriented and experienced Payroll Specialist to take ownership of end-to-end payroll processing for our growing workforce. The ideal candidate will have strong hands-on experience in Indian payroll, statutory compliance, payroll reconciliations, employee lifecycle transactions, and payroll MIS.
The role requires close coordination with HR, Finance, employees, and external payroll/statutory partners to ensure accurate, timely, compliant, and seamless payroll operations.
Key Roles:
1. End-to-End Payroll Management
- Independently manage and execute the monthly payroll cycle for employees.
- Validate payroll inputs including attendance, leaves, incentives, overtime, bonuses, allowances, deductions, reimbursements, and salary revisions.
- Ensure accurate and timely salary processing and disbursement.
- Review and validate payroll calculations before final processing.
- Prepare and distribute salary slips and payroll-related documents.
- Identify and resolve payroll discrepancies and ensure timely closure.
2. Statutory Compliance & Taxation
- Ensure timely and accurate compliance with PF, ESIC, Professional Tax, TDS, Labour Welfare Fund, and other applicable statutory requirements.
- Prepare and submit monthly/quarterly statutory returns and ensure timely payments.
- Handle payroll-related TDS calculations, deductions, reconciliations, and reporting.
- Track changes in payroll regulations, tax laws, and labour legislation and ensure necessary process updates.
- Coordinate with internal and external stakeholders during statutory audits and compliance reviews.
3. Payroll Reconciliation & Accounting
- Perform monthly payroll reconciliation between payroll records, HRIS, bank statements, and finance records.
- Prepare and reconcile General Ledger (GL) payroll/wages journals.
- Reconcile statutory liabilities and ensure accurate accounting of payroll-related expenses.
- Investigate variances and discrepancies and implement corrective actions.
- Coordinate with Finance for payroll accounting, provisions, and month-end closure.
4. Payroll MIS & Reporting
- Maintain accurate employee payroll records and HRIS/payroll data.
- Prepare monthly payroll MIS and management reports.
- Generate reports on payroll costs, headcount, deductions, statutory contributions, and other payroll metrics.
- Prepare and reconcile monthly attendance and leave reports.
- Ensure data integrity and confidentiality across payroll systems and records.
5. Employee Lifecycle & Full & Final Settlement
- Coordinate payroll inputs related to new joiners, promotions, transfers, salary revisions, and employee exits.
- Process Full & Final Settlements (F&F;) accurately and within defined timelines.
- Ensure all necessary supporting documents and clearances are received for F&F; processing.
- Calculate notice pay, leave encashment, recoveries, incentives, deductions, and other applicable components.
- Coordinate with HR and Finance to ensure smooth employee separation and settlement.
6. Employee Support & Stakeholder Management
- Act as a point of contact for employee payroll queries and ensure timely resolution.
- Coordinate closely with HR, Finance, and business teams to ensure accurate payroll inputs.
- Liaise with external payroll vendors, consultants, and statutory authorities whenever required.
- Maintain clear documentation and communication around payroll processes and policies.
- Ensure payroll-related issues are tracked and resolved within agreed timelines.
7. Process Improvement & Controls
- Identify opportunities to streamline and automate payroll processes.
- Establish and maintain payroll checks and controls to minimize errors.
- Conduct periodic audits of payroll data and processes.
- Improve payroll turnaround time, accuracy, and reporting efficiency.
- Maintain strict confidentiality and security of employee compensation and payroll information.
Required Skills & Qualifications
- Bachelor's degree in HR, Finance, Accounting, Business Administration, or a related field.
- 2–4 years of hands-on experience in end-to-end payroll processing, preferably in a high-growth organization.
- Strong knowledge of Indian payroll processes and statutory compliances.
- Hands-on experience with PF, ESIC, Professional Tax, TDS, Labour Welfare Fund, and Full & Final Settlement.
- Strong understanding of payroll reconciliation and GL/wages journal processes.
- Advanced proficiency in MS Excel, including VLOOKUP/XLOOKUP, Pivot Tables, SUMIF/COUNTIF, and data reconciliation.
- Experience working with HRMS/HRIS/payroll software ( ZOHO will be a plus)
- Strong analytical and problem-solving skills with high attention to detail.
- Ability to handle confidential employee and compensation data with discretion.
- Robust communication and stakeholder-management skills.
- Ability to independently manage payroll timelines and work in a fast-paced environment.
Preferred Experience
- Experience managing payroll for 1000+ employees will be preferred.
- Experience working with payroll vendors or external statutory consultants.
- Prior experience in a high-growth EdTech, Technology, SaaS, or startup environment is an advantage.
- Experience in payroll audits, compliance reviews, and process automation will be an added advantage.
