Front
Office & Reception • Warmly greet and receive walk-in patients / guests at the clinic, and manage appointment scheduling for consultations and therapies.
- Register new patients, open and update patient records / case sheets in coordination with the consulting doctor, and maintain patient confidentiality at all times.
- Attend to telephone, WhatsApp and online enquiries; log every enquiry in the Enquiry Register with source, query details, and follow-up / status, and route it for timely response.
- Coordinate the doctor's consultation schedule and manage patient flow so waiting time is minimised; keep the reception and waiting area clean, organised and welcoming.
- Handle patient questions on services, treatment packages, pricing and appointment status courteously and professionally, escalating clinical questions to the consulting doctor.
- Maintain the clinic's enquiry-to-appointment and follow-up trackers, and support conversion and retention follow-ups as directed. B. Billing & Cash Management • Generate accurate bills / invoices for consultations, therapies and medicines • Collect payments by cash, card and UPI, issue receipts for every transaction, and reconcile daily collections against the bills raised at the end of each day.
- Maintain organised billing and collection records, and share daily / periodic collection summaries with Accounts and HR at the Head Office as required.
- Ensure any discount, offer or package pricing is applied only as per management-approved terms,
and flag discrepancies before finalising a bill.
- Follow up on pending patient dues, and process refunds or billing adjustments only with proper authorisation and documentation. C.
Medicine
Dispensing & Pharmacy Accounting • Dispense ayurvedic medicines strictly against the consulting doctor's prescription in the exact quantities and manner prescribed.
- Follow Positive Manufacturing / Valuable Handling Practices at all times — personal hygiene, gloves and clean dispensing utensils — and never handle medicines while unwell or having a contagious condition.
- Maintain the Medicine Stock Register, updating it on every receipt and issue, and tracking batch numbers and expiry dates to ensure expired stock is never dispensed or billed.
- Raise medicine indents to the main pharmacy medical stores (or approved suppliers) when clinic stock needs replenishment • Maintain accurate medicine accounting — stock-in, stock-out, wastage and expiry write-offs — and reconcile pharmacy stock against billed medicine sales on a regular basis.
- Store all medicines in appropriate, closed and clearly labelled containers, and flag any damaged, contaminated or near-expiry stock to the Clinic In-Charge / consulting doctor for review and disposal as per company protocol (Observation on Medicines / Medicine Disposition Record). D. General • Perform any other reasonable duty assigned by the Clinic In-Charge / Reporting Officer in support of smooth clinic operations
