Job Title: Parent Relationship Manager
Department: Parent Relations & Admissions

Work Timings: 9:00 AM – 5:00 PM
Job Summary
Meluha International School is seeking a professional, empathetic, and highly organised Parent Relationship Manager to strengthen and maintain positive relationships between the school and its parent community.
The ideal candidate will be responsible for serving as a key point of contact for parents, understanding their concerns and expectations, facilitating timely communication, and ensuring a high-quality parent experience throughout their association with the school. The role requires excellent interpersonal skills, strong communication abilities, patience, discretion, and a service-oriented approach.
The Parent Relationship Manager will work closely with Academic, Admissions, Administration, and School Leadership teams to ensure that parent concerns are addressed effectively and that communication remains professional, transparent, and aligned with the school's values and policies.
The role will also involve supporting prospective parents by providing relevant information about the school, facilitating school visits and interactions, and assisting the Admissions team at appropriate stages of the enrolment journey. Candidates with experience in parent relations, customer relationship management, counselling, admissions, education, hospitality, or other service-oriented environments are encouraged to apply.
Key Responsibilities
1. Parent Relationship Management
● Serve as the primary point of contact for parents regarding general queries, concerns, requests, and school-related communication.
● Build and maintain solid, professional, and positive relationships with parents and families.
● Understand parent expectations and provide timely, accurate, and appropriate responses.
● Handle parent interactions with patience, empathy, professionalism, and confidentiality.
● Proactively follow up on parent concerns to ensure timely resolution and closure.
● Maintain a professional and welcoming approach across all parent touchpoints,
including phone calls, emails, meetings, and in-person interactions.
● Develop strong rapport with parents while maintaining appropriate professional boundaries.
● Identify recurring parent concerns and communicate relevant observations to the appropriate departments and School Leadership.
● Support the school in maintaining a positive parent experience and strengthening parent engagement.
2. Parent Queries, Concerns & Grievance Handling
● Receive, understand, document, and appropriately route parent concerns to the concerned department or authority.
● Coordinate with Academic, Administration, Transport, Hostel, Accounts, Admissions, and other relevant departments for resolution of parent concerns.
● Follow up with respective stakeholders and ensure that committed actions are completed within the expected timelines.
● Escalate sensitive, critical, or unresolved concerns to the appropriate School Leadership.
● Maintain accurate records of parent complaints, requests, feedback, and resolutions.
● Handle difficult conversations calmly and professionally while protecting the interests and reputation of the institution.
● Ensure that parent concerns are addressed in accordance with school policies and established procedures.
● Identify opportunities to improve processes based on recurring parent feedback.
3. Parent Communication & Engagement
● Coordinate and facilitate effective communication between parents and the school.
● Draft and communicate professional responses to parent queries, concerns, and requests where required.
● Support the communication of important school updates, academic information, events,
programmes, policies, and operational announcements.
● Coordinate parent meetings, appointments, interactions, and follow-ups with relevant stakeholders.
● Support Parent-Teacher Meetings (PTMs), orientations, workshops, school events, and other parent engagement initiatives.
● Encourage constructive parent participation and engagement with the school community.
● Ensure that all parent-facing communication reflects the school's professionalism,
values, and standards.
● Maintain appropriate records of important parent interactions and follow-up actions.
4. Prospective Parent Support & Admissions Coordination
● Serve as a welcoming point of contact for prospective parents enquiring about the school and its programmes.
● Provide accurate and relevant information regarding the school's curriculum,
programmes, facilities, student life, and admission process.
● Understand prospective parents' requirements and provide appropriate guidance regarding available programmes and pathways.
● Coordinate school visits, campus interactions, counselling sessions, and meetings with relevant academic or leadership teams.
● Support the Admissions team in maintaining a smooth and professional parent experience throughout the enquiry and admission journey.
● Follow up with prospective parents at appropriate stages and ensure timely communication.
● Maintain accurate records of enquiries, interactions, follow-ups, and admission-related communication.
● Support counselling conversations by understanding family requirements and directing them to the appropriate academic or admissions stakeholders when required.
● Contribute to improving enquiry-to-admission engagement through professional and relationship-driven communication.
5. Cross-Departmental Coordination
● Coordinate closely with Academic Coordinators, Teachers, Admissions, Accounts,
Administration, Transport, Hostel, and other departments to address parent requirements.
● Facilitate effective information flow between parents and relevant internal stakeholders.
● Ensure that parent concerns are directed to the appropriate authority without unnecessary delays.
● Participate in internal coordination meetings relating to parent feedback, concerns,
engagement, and student experience.
● Assist School Leadership in identifying parent-related operational or communication gaps.
● Maintain professional working relationships across departments to ensure a seamless parent experience.
6. Parent Feedback & Relationship Improvement
● Collect and document parent feedback through appropriate channels.
● Monitor recurring concerns, suggestions, and areas of dissatisfaction.
● Share relevant feedback trends with School Leadership and concerned departments.
● Support initiatives aimed at improving parent satisfaction, engagement, and overall school experience.
● Assist in developing and implementing parent engagement initiatives.
● Maintain a proactive approach towards identifying potential concerns before they escalate.
● Contribute ideas and recommendations for improving parent communication and relationship management processes.
7. Documentation, Reporting & Administrative Responsibilities
● Maintain updated records of parent interactions, complaints, requests, feedback,
follow-ups, and resolutions.
● Prepare periodic reports on parent concerns, feedback, engagement, and resolution status.
● Track pending parent issues and ensure appropriate follow-up until closure.
● Maintain confidentiality of sensitive parent, student, and institutional information.
● Ensure accurate documentation of important parent communications and commitments.
● Support the preparation of MIS reports and management updates relating to parent relations.
● Perform additional responsibilities assigned by School Leadership from time to time.
Qualifications
● Bachelor's Degree or Master's Degree in any relevant discipline from a recognised university.
● Qualifications in Business Administration, Psychology, Education, Communications,
Hospitality, Management, or related fields will be an added advantage.
● Additional certifications in Customer Relationship Management, Counselling,
Communication, or Service Excellence will be considered an advantage.
Experience
● 1–4 years of experience especially in parent relations, customer relationship management, admissions, counselling, education, hospitality, front office, customer service, or a similar service-oriented role.
● Prior experience in a school, international school, educational institution, premium hospitality environment, or customer-facing organisation will be an added advantage.
● Experience in handling parent/customer concerns, follow-ups, relationship management, or admissions enquiries is preferred.
● Freshers with exceptional communication, interpersonal, and relationship-management skills may also be considered.
