HR Administrator Remote (Hourly Based Role)

About the Role
Cake Craft Company UK is looking for a proactive, organised and detail-oriented HR Administrator to support our day-to-day HR operations remotely.
The role will support the complete employee lifecycle, including HR administration, recruitment coordination, onboarding and offboarding, attendance management, timesheet and overtime validation, payroll input preparation, employee records, HR documentation, training coordination and employee queries.
The ideal candidate should have previous experience in HR operations or HR administration and be confident working independently in a remote environment.
Key Responsibilities
HR Operations & Administration
- Maintain accurate employee records, personnel files and HR databases.
- Prepare offer letters, employment contracts, probation letters, confirmation letters, reference letters and other HR documentation.
- Process employee changes including promotions, salary amendments, working-hour changes and personal-information updates.
- Maintain organised digital employee files and ensure documents are complete, approved and confidential.
- Track probation reviews, contract renewals, holidays, training requirements and document expiry dates.
Recruitment & Onboarding
- Post job advertisements on recruitment platforms.
- Review applications and support candidate shortlisting.
- Schedule interviews and coordinate communication with candidates and hiring managers.
- Prepare interview documents and candidate correspondence.
- Coordinate reference checks, right-to-work checks and other pre-employment requirements.
- Issue offer letters and support candidates through the joining process.
- Coordinate joining formalities, induction, system access, employee documentation and training.
Attendance, Timesheets & Payroll Support
- Maintain attendance, leave, sickness, lateness and working-hours records.
- Review employee timesheets for accuracy and completeness.
- Validate overtime against approved schedules, manager approvals and time records.
- Follow up on missing, incorrect, duplicated or unapproved overtime entries.
- Maintain overtime and attendance trackers.
- Validate working hours, shift allowances, bonuses, commissions, deductions and other variable payroll inputs.
- Prepare accurate payroll input reports within agreed deadlines.
- Support payroll reconciliation and investigate payroll discrepancies.
- Maintain records of payroll corrections and amendments.
Employee Lifecycle & Support
- Coordinate probation reviews and related documentation.
- Support employee resignations and exit formalities.
- Coordinate company-property returns, access removal and final payroll notifications.
- Respond to routine employee queries regarding attendance, leave, overtime, payroll processes and HR policies.
- Escalate complex employee-relations, grievance, disciplinary or payroll matters to the HR Manager.
Training, Compliance & Reporting
- Maintain employee training records.
- Coordinate online training sessions and performance-review documentation.
- Support updates to HR policies, procedures, handbooks and SOPs.
- Maintain confidentiality and support compliance with data-protection requirements and applicable UK employment practices.
- Prepare HR reports covering headcount, attendance, overtime, absence, recruitment, probation, turnover and training.
Candidate Requirements
- Minimum 1-2 years of experience in HR Administration, HR Operations, HR Assistant, Payroll Administration or a similar role.
- Previous experience handling attendance, timesheets, overtime or payroll inputs.
- Good understanding of general HR administration and employee lifecycle processes.
- Strong numerical accuracy and attention to detail.
- Ability to identify discrepancies in attendance, overtime and payroll information.
- Good communication and organisational skills.
- Strong working knowledge of Microsoft Excel, Word, Outlook and Teams.
- Comfortable using HR systems, spreadsheets, time-tracking tools and shared digital files.
- Ability to manage multiple deadlines independently in a remote-working environment.
- Ability to maintain confidentiality while handling sensitive employee information.
Preferred Experience
Candidates with exposure to any of the following will be preferred:
- Payroll input preparation or payroll reconciliation
- HRMS, HRIS, attendance or applicant-tracking systems
- UK HR processes or basic UK employment-law awareness
- Manufacturing, warehouse, retail, food, baking, e-commerce or similar environments
- Supporting hourly-paid, shift-based or remote employees
Working Arrangement
This is a remote, full-time position, Hourly based role.
The successful candidate will be required to maintain reliable internet access, remain available during agreed working hours, attend online meetings and record working hours accurately using the company-approved time-tracking system.
